Assessments Administrator, Education in the Arts, Permanent role, hybrid, London, £25,000-£27,000 per annum

Our client, a prestigious academy in the arts requires a process driven diligent Assessments Administrator. This is a hybrid role, permanent and working 34.5 hours a week. In this role, you take responsibility for the student records processes for university-validated and professional programmes of study and awards. The department develops, promotes, and coordinates the programmes of study leading to undergraduate and postgraduate degree, diploma and certificate awards of the validating university. The team builds relationships with the validating University and helps to further the International and National reputation of the organisation. An interest in Dance / Performing Arts would be useful for this role.

Responsibilities include:

* Managing student records and files for students enrolled on both university-validated courses and awards both electronic (on spreadsheets and databases) and hard copy (where necessary), keeping associated files and records up to date
* Tracking payment and liaising with agencies such as the Student Loans Company
* Undertaking assessment-related duties and contribute to the development of the Faculty of Education’s student records database
* Representing the team at Induction and Open Day activities
* Assisting the Registrar in the organisation of the Awards Day
* Responding to telephone and email enquiries
* Ensuring students receive fee invoices in a timely manner, payments are recorded and registration information is collected and stored securely
* Coordinating and liaising with the Assistant Registrar and programme staff in processing students’ requests for withdrawals, suspensions, extensions and change of study mode and informing relevant internal and external parties of the request outcome
* Liaising with the validating university on students’ registrations, withdrawals, and suspensions, ensuring that the university is kept up to date on all students’ registration status at all times
* Participating in regular meetings with the Finance Department and liaising across other departments
* Tracking student fee payments
* Liaising with Facilities to ensure practical space is allocated for onsite examinations which are suitable for specified examination conditions
* Producing and distributing in board reports for the examination and assessment Boards, ensuring marks are received in accordance with agreed format and deadlines
* Assisting the Registrar in managing Chair’s Actions for examination and assessment boards
* Coordinating and liaising with the Registrar and Professional Services staff in the processing of assessment results via Turnitin and Moodle
* Coordinating and liaising with External Examiners ensuring that all relevant student work and supporting documentation is made available
* Liaising with the Registrar and the Assistant Registrar in responding to requests for mark profiles and transcripts, the issuing of award certificates, including replacement parchments and transcripts and verification requests
* Archiving of student work and maintaining alumni registrations
* Helping to coordinate the organisation of the Awards Day
* Contributing to the administration of the National Student Survey and the Graduate Outcomes Survey and help with the collection and presentation of student information for the purpose of data returns to the Higher Education Statistics Agency, Medr, and the Office for Students, Committees
* Following current policies and procedures
* Coordinating and contributing to the development of the Faculty of Education’s student records database

Desired attributes and skills

* Degree level Education (or equivalent experience)
* Administration experience in a data-sensitive, customer-centred environment
* Experienced in creating and manipulating spreadsheets and complex information
* If you have experience of working within Further/Higher Education and an understanding of the student-related academic cycle in higher education that would be bonus.
* Also desirable would be experience of working in student records with knowledge of assessment and examination boards and experience of interpreting and giving advice on policies and regulations
* Ability to work well in a team to agreed targets
* A discrete approach and able to maintain confidentiality
* Excellent written and oral skills
* A customer-focused approach, with confidence dealing with enquiries
* Ability to build a rapport
* Ability to work quickly and accurately under pressure and prioritise work
* Ability to research and analyse quantitative and qualitative information for the improvement of processes
* An interest in working in an arts environment
* Microsoft Office: Word, Excel, Power Point, Databases
