The Role
The Finance Assistant is a brand new role, created to bring bookkeeping and accounting support to our Finance Director and the wider team. You will be part of a wide range of finance duties, ensuring accurate and up-to-date financial records. Youll be the backbone of our day‑to‑day finances, making sure everything from customer invoices to supplier payments runs smoothly and accurately. Its a role where your sharp eye for detail will directly contribute to our companys stability and growth.
What You’ll Be Doing
This isnt a static role. As we grow, theres real potential for this position to expand in hours and responsibility. The main areas of focus include:
Maintaining the purchase ledger
* Processing purchase ledger invoices using Xero and Hubdoc
* Review and approve staff and consultant expense claims
* Reconcile monthly credit card statements
* Prepare and set up payment runs for Finance Director approval
Maintaining the sales ledger
* Raising invoices across our Retail and Wholesale business in the UK and internationally.
* Monitor aged receivables across the business
Bank
* Bank reconciliation for organisation’s GBP, EUR, USD bank accounts, for review by the Finance Director
* Reconciliation of PayPal, Klarna and other payment accounts
Reconciliations and journals
* Support Finance Director with monthly reconciliations, including stock valuation, prepayments and accruals
* Help maintain the fixed asset register and support with monthly depreciation journals
* Help to prepare other monthly journals and analysis required to provide the senior team with accurate management information
Tax and VAT
* Prepare draft UK and EU VAT returns for review by the Finance Director
* Review of general ledger for tax compliance - including Corporation Tax and VAT
Finance systems and policies
* Work with the Finance Director to keep internal finance policies and other documentation up to date
* Initiate process and systems improvements and help draft new policies and guidance notes as required
* Point of contact for finance queries
About You
* A recognised accountancy qualification and/or qualified by experience in accounting
* Able to demonstrate strong experience of Xero accounting software (or similar)
* Good MS Office and/or Google Workspace skills - especially Excel and Google Sheets
* Strong analytical and numerical skills.
* Solid understanding of processes and a commitment to continual process improvement
* Be a Team Player. As a vital part of a small team, you’ll have a can‑do attitude and be able to manage a varied workload and to work flexibly in a small team.
* You will have good interpersonal skills, be supportive of other colleagues and have the ability to build effective working relationships with financial and non‑financial staff.
