As a Facilities Administrator, you'll be at the heart of our operations, ensuring the smooth delivery of reactive and planned maintenance, as well as capital projects, for a portfolio of valued clients.
You'll be the go-to person for your assigned clients, handling job updates, client communications, portal management, and financial documentation. Your role is key to maintaining strong client relationships, delivering exceptional service, and supporting the wider team in achieving operational excellence.
Key Responsibilities:
* Manage and action a variety of reactive maintenance tasks, ensuring timely follow-up and resolution.
* Handle all admin for your client accounts: raise invoices, quotations, credit notes, and submit worksheets and reports.
* Maintain and update client portals, ensuring accuracy and reducing open job counts.
* Support Account Managers with quotations and proposals for additional works.
* Coordinate with engineers to ensure timely job completion and troubleshoot any issues.
* Monitor service performance and support improvements to enhance client satisfaction.
* Assist in delivering fabric maintenance projects on time and within budget.
* Provide full administrative support to senior staff and collaborate with help desk and account teams.
What We're Looking For:
* Proven admin experience (facilities maintenance background preferred).
* Basic construction knowledge is a plus.
* Strong communication and interpersonal skills.
* Excellent organisational skills and attention to detail.
* Confident using MS Office; experience with job management systems is a bonus.
* Ability to manage multiple tasks and deadlines efficiently.
* A proactive, customer-focused mindset with a professional phone manner.
* Team player with a commitment to continuous learning and development.
