Description
The main purpose of this role is to provide an excellent standard of secretarial support to fee earners across the specified practice. You may also be required to support other practice groups as needed.
The working hours are 9:00-17:00. DACB promotes Flexforward, supporting a Life that Works across the firm. The secretarial team in HCPL has a hybrid work pattern, splitting time between office and home. We seek an enthusiastic individual eager to embrace this role and work with like-minded colleagues.
Key Responsibilities
Client Relationship Management
* Stay updated with client-specific protocols and processes, providing guidance and training where necessary.
* Respond to client queries promptly.
Financial
* Manage billing and account queries, collaborating with fee earners and support teams.
* Prepare expense claims and complete account forms.
* Maintain spreadsheets and understand client billing processes and rate tables.
Supporting Lawyers
* Handle confidential information following data security protocols.
* Prepare correspondence and documents from digital dictation.
* Create electronic court bundles and amend documents as per specifications.
* Prepare client reports, scan correspondence, and manage electronic files.
* Manage lawyer inboxes during absences and assist with diary management and court liaising.
* Organize client events and maintain office tidiness.
* Handle telephone enquiries professionally and send out correspondence on behalf of fee earners.
* Prioritize tasks effectively and provide excellent client service, building positive relationships.
* Assist with business development activities and maintain internal and external relationships.
Skills, Knowledge & Expertise
* Experience in legal or professional services environment.
* Strong document production and client communication skills.
* Advanced proficiency in Microsoft Office and document/case management systems.
* Excellent communication and customer service skills.
* Ability to manage multiple priorities and investigate issues thoroughly.
* Conscientious with a focus on accuracy and attention to detail.
* Team player with a positive attitude and adaptability.
* Discreet, confidential, and well-organized.
