Marlborough Highways has a fantastic opportunity within our Transport team for an experienced Transport Assistant to join us in a fixed term contract covering Maternity Leave. Joining a brilliant team, within a thriving organisation, the role will be responsible for providing specialist administrative support, advice and guidance to internal and external stakeholders to ensure efficient and effective processes.
Key Responsibilities
* Using knowledge of the transport and vehicle policies, take responsibility for ensuring drivers across the company complete daily vehicle pre-use checks
* Identify gaps and chase, discuss and challenge drivers when this hasn’t been done.
* Highlight trends and report failures back to transport manager.
* Ensure the vehicle list held on our system (Jaama Key 2) is accurate, adding, removing and updating when required.
* Liaise with Transport Manager to ensure information on change of drive, repair, VOR, off hire etc. is reflected in system.
* Be the first point of contact for breakdowns and liaise with 3rd part providers / fitters to book in accordingly.
* Provide support to the driver or operator with any transport related issues.
* Take full responsibility for ensuring all processes within the transport team are completed consistently and on time, for example
* Support with driver training on the Jaama Key 2 app.
* Check and raise purchase orders for invoices
* Using your knowledge of vehicle operating license ensure the vehicle maintenance schedule is adhered to and complies with legislation.
* When necessary, occasional reception duties required to cover sickness and holiday
* Assist transport manager with site visits to build understanding of the transport team and operational requirements
* Responsible for maintaining our personal insurance spreadsheet, liaising with third parties and ensuring all vehicle hires are up to date and accurate
* Liaise with supervisors and third parties to record, report and manage repairs for any vehicle defects and service bookings
* Responsible for working with third party main dealers to arrange vehicle repairs Following policy regulations, responsible for managing and booking all tail lift inspections and adhering to Lifting Operations and Lifting Equipment regulations
Skills, Knowledge and Expertise
* Experience of supporting a transport or plant operation.
* Good understanding of the operating license regulations and how to work within these guidelines
* Understanding of Lifting Operations and Lifting Equipment regulation
* Strong background of working in an office environment
* Confidence and experience in dealing with conflict, and responding to challenges without immediate escalation.
* Good experience of using word, excel, outlook.
* Ability to work well as part of a team.
* Experience in training others including system training would be an advantage
* Driving License and willing to travel across Essex and London as required
* Jaama Key2 experience and distinct advantage.
