We’re a busy, buzzing recruitment consultancy (actually a group of them - Milk Education, Aspion Search & The Advocate Group)) and we’re on the hunt for an experienced Payroll & Accounts Administrator to join our fast-paced finance & operations crew.
If you love order, thrive in high-volume environments, and know your way around payroll, timesheets, invoicing—and the wonderful world of umbrella companies—this one’s for you. You’ll be right at the heart of the action, working closely with recruitment consultants and external umbrella partners to keep everything running smoothly (and compliantly!).
Here’s a snapshot of what you’ll get stuck into:
* Processing and validating 500+ timesheets a week like a pro
* Preparing payroll data and working closely with external umbrella companies
* Making sure everything is compliant with IR35, PAYE, and HMRC requirements
* Supporting payroll and finance operations across a group of recruitment businesses
* Running payroll using Sage Payroll
* Posting and reconciling sales and purchase invoices
* Investigating credit note queries (you’re persistent, detail-driven, and don’t give up easily)
* Working closely with recruitment consultants to resolve payroll, timesheet, and invoicing queries
* Managing day-to-day payroll, timesheet, and invoice questions efficiently
* Supporting month-end processes
* Jumping in on ad-hoc tasks in a fast-moving environment
Systems You’ll Be Using
You’ll be hands-on with the following tools:
* Vincere – timesheets and payroll data
* Xero – invoicing and accounting
* Sage Payroll – payroll processing and submissions
What We’re Looking For
You’ll fit right in if you have:
* Proven experience in recruitment payroll or finance
* A solid understanding of umbrella company models
* Strong knowledge of IR35, PAYE, and HMRC processes
* Experience working in a high-volume payroll and timesheet environment
* Confidence posting sales and purchase invoices
* Hands-on experience with Vincere, Xero, and Sage Payroll
* Confidence working closely with consultants and stakeholders
* A tenacious, problem-solving mindset—especially with discrepancies
* The ability to stay accurate, calm, and focused under pressure
Nice to Have (But Not Essential)
* Experience in a multi-company or recruitment group
* Previous experience liaising with external payroll or umbrella providers
