The Project Support Officer will be expected to provide comprehensive project support, working closely with project teams to ensure projects are well-planned, resourced, and delivered to high standards, on time, and within budget. The role includes supporting the Buried Networks Team in organizing and following up on regular team meetings. Administrative duties involve assisting Project Managers with meetings, minute-taking, updating risk registers, and chairing meetings in the Project Managers' absence. The Project Support Officer reports to the Senior Project Manager for line management and development.
The officer will collaborate with Project Managers to ensure successful project development, execution, and handover. The role also involves communication with external parties such as consultants, contractors, staff, organizations, the public, and other stakeholders.
KEY RESPONSIBILITIES / DUTIES
1. Organisation and administration: Serve as the first point of contact within the Buried Network Team for organizational and administrative tasks, oversee onboarding and offboarding of project team members, and manage actions from meetings.
2. Financial Administration: Process purchase requisitions and invoices using SAP.
3. Permitting and Licensing: Assist with obtaining permits and licenses, and act as the first contact for inquiries from regulatory bodies.
4. Document Management: Update and manage document systems such as SharePoint, Kairnial, and ThinkProject.
5. Financial Project Control: Prepare budget estimates, forecasts, and spend reports, supporting grant-funded projects.
6. Risk Management: Administer project risk reviews and follow up on risk workshop actions.
7. Project Steering and Decision-Making: Support in setting up work packages, preparing reviews, and following up on recommendations.
8. Project Practices and Governance: Create and maintain project handbooks and organize lessons learned workshops.
9. Management Reporting: Compile and validate project reports and monitor progress to meet deadlines.
KNOWLEDGE AND SKILLS
Essential: Proficiency in Microsoft Office, strong commercial and contractual knowledge, high initiative, organization, adaptability, attention to detail, confidentiality, and ability to work under pressure both independently and in teams.
Desirable: Knowledge of SAP ERP, document management systems, Microsoft Project & PowerBi, strong communication skills, passion for process improvement, and excellent attention to detail.
QUALIFICATIONS AND EXPERIENCE
Essential: Experience providing high-quality project administrative support.
Desirable: At least 3 years in project management, business administration, or permitting processes; experience with technical projects; project management qualification (e.g., APM, Prince2, PMI); relevant diploma or training.
