The purpose of this role is to enable the smooth and effective functioning of departmental administration and operations by providing high-quality administrative and operational support across teams of all levels, with a particular focus on the Content, Operations, and Project and Programme functions. The role includes general office administration, including some personal assistant support to the Senior Management Team (SMT) such as calendar management and meeting support. The role will coordinate and support meetings and workshops, manage and route correspondence, and communicate effectively with teams and the department. This role is also responsible for supporting and coordinating editorial workflows and editorial tasks, including inputting tasks to the scheduler and monitoring progress to ensure content is signed off on schedule. Additionally, the role will support Project and Programme Management with administrative and operational tasks to ensure efficient and effective delivery, project coordination, planning, and task management, allowing Oxford Languages staff to focus on their core competencies and specialized tasks to ensure the department runs efficiently.
Essential:
* Experience providing administration and/or operational support to teams or departments in a large, complex organization
* Experience working in a highly collaborative, team, and project-focused environment
* Experience supporting meetings and workshops, including setup coordination, minute-taking, and action tracking
* Proficiency with software and tools such as Microsoft Word, PowerPoint, Excel, SharePoint, and Teams
* Ability to manage accurate and up-to-date records, understanding confidentiality and data protection procedures
* Excellent written and verbal communication skills, with the ability to communicate effectively at all levels, including senior management
* Experience in identifying and implementing administrative or operational process improvements with measurable results
Desirable:
* Knowledge of editorial workflows and content production cycles
* Familiarity with project and programme management practices
* Experience with task planning and monitoring tools such as Jira and Microsoft Planner
