Key Responsibilities

Post: Receptionist and Office Administrator

Department: School Office

Responsible to: Administration Manager

Hours of work: 09:15-17:45 Monday to Friday, Saturday 07:45-16:15. 40 hours per week - 5 days out of 6. Saturday working on a rota basis during term time. Term Time (34 weeks) only.

Grade/Salary: £21,165 (Point 2 on Support Pay Scale)

Overall purpose of the post:

To provide a professional reception to visitors, parents, staff and pupils, and support the administration functions of the School Office.

Key responsibilities:

1. Act as the first point of contact for visitors, parents and pupils, ensuring a warm professional reception service while upholding safeguarding protocols, including accurate visitor sign-in procedures.

2. Answer and direct phone calls, emails, and in-person queries efficiently and courteously.

3. Maintain a visitor calendar ensuring appointments and meetings are logged. Coordinate room booking, catering and hospitality, parking, and any other logistical requirements.

4. Maintain the pupil register by recording daily attendance, absences, and punctuality, and associated tasks, ensuring compliance is followed.

5. Support administrative tasks such as photocopying, filing, and data entry.

6. Monitor and replenish office supplies. Procurement of stationery and supplies for various departments.

7. Responsibilities are subject to change and may include other responsibilities as needed to meet the objectives of the School Office.
