Finance and Operations Coordinator (Maternity Cover)

Position Overview
Support the smooth running of day‑to‑day business activities across operations, logistics, finance and customer support. Manage staff accommodation and supplier relationships, oversee equipment and vehicle administration, and handle staff and supplier queries. Assist with financial processes including expense review, invoice processing and month‑end reconciliation, as well as billing runs and payment tracking. Requires strong organisational and communication skills, a keen eye for detail, and confidence working across multiple finance and administration platforms.
Responsibilities
* Operate staff accommodation bookings, budgets and relationships with suppliers.
* Oversee Starlink distribution, tracking and equipment management.
* Administer vehicle insurance and manage consumables and office supplies.
* Handle reception calls, help‑desk tickets and general staff support queries.
* Review and process staff expenses and supplier invoices using Expend, iCompleat and Xero.
* Maintain accurate records for purchase orders, payments and credit notes.
* Prepare reports and assist with month‑end reconciliation.
* Support supplier onboarding and respond to finance‑related queries.
* Manage Mobius billing runs, account updates and customer communications.
* Process payments, chase outstanding balances and escalated support issues.
* Maintain accurate financial and operational data across systems.
* Contribute to a safe and healthy workplace in accordance with PMY’s Occupational Health and Safety Policies and relevant legislative requirements.
Qualifications & Skills
* Bachelor’s degree in Business Administration, Finance, Operations Management or a related field (or equivalent experience).
* Proven experience in operations coordination, office administration or finance support roles.
* Experience managing supplier relationships, budgets and logistics processes.
* Familiarity with financial systems such as Xero, iCompleat, Expend or similar platforms.
* Experience handling invoices, expenses and reconciliation processes is highly desirable.
