Position Overview
CATS Academy Boston is seeking a highly organized, proactive, and professional Executive Assistant Coordinator of Strategic Projects and Executive Operations to support the Head of School and provide cross-functional coordination across the school’s leadership team. This role is designed to elevate operational efficiency, enhance communication, and drive the successful execution of school-wide initiatives. The Executive Assistant will manage daily administrative functions for the Head of School while also supporting key members of the leadership team, including the Director of HR, Director of Athletics, and other senior roles. The

The Executive Assistant also liaises with global leadership and campus counterparts as needed, supporting alignment with CATS Global Schools' priorities. This role offers exposure to strategic leadership and cross-functional operationsideal for candidates aspiring to grow within education leadership or operational management.
Key Responsibilities
Executive Support
Manage the Head of School’s calendar, appointments, travel, and communication flow.
Handle scheduling and logistics for internal and external meetings, including VIP visits.
Draft, format, and edit written correspondence, memos, and reports
Provide scheduling support for additional senior leaders
Support the Head of School in preparing for reporting and leadership meetings across the global CATS network.
Project & Event Coordination
Lead planning and execution of major campus events such as Commencement, Opening of School, and Family Weekend.
Maintain and manage the school-wide events calendar.
Serve as a project coordinator for strategic initiatives led by the Head of School or senior leadership, such as journey work or cross-departmental efforts.
Budget & Administrative Oversight
Track and monitor budget lines tied to the Head of School and special projects.
Process invoices, purchase orders, and reimbursements
Liaise with the Business Office to ensure fiscal accuracy and documentation.
Internal Communication & Operations
Draft and distribute newsletters or updates from the Head of School’s Office
Coordinate agendas, note-taking, and follow-up for leadership and all-staff meetings.
Maintain critical administrative documents (e.g., org charts, emergency contacts, handbooks)
Support coordination of updates to policy documents in partnership with HR and operations leadership
Global Network Integration
Liaise with CATS Global Schools leadership and peer campuses to support aligned operations and reporting.
Prepare communications or materials needed for advisory board updates or global leadership convenings.
Qualifications
Bachelor’s degree required
35 years of experience in executive administration, operations, or project management
Strong proficiency with Google Workspace, Microsoft Office, and scheduling systems
Experience in an educational or nonprofit setting is a plus.
Excellent written and verbal communication skills
Highly professional, discreet, and dependable
Trusted to manage highly confidential information with discretion and professionalism
