We are delighted to offer an exciting opportunity for a Recruitment Administrator to join our HR team in Cambridge. This role will support recruitment activity across two colleges and one nursery / school, playing a key part in attracting and onboarding high-quality staff.
Job Purpose:
As our Recruitment Administrator, your focus will be to keep recruitment moving, keep people informed, and keep standards high. You’ll manage the details, the coordination and the candidate experience, ensuring a smooth and efficient hiring process.
In addition to leading the recruitment process, the Recruitment Administrator is responsible for the accurate maintenance of the Single Central Record, ensuring all pre-employment checks are completed in line with safer recruitment standards and statutory guidance for education.
Key Responsibilities:
Recruitment
• Oversee and coordinate the full recruitment cycle in collaboration with the HR team and individual settings.
* Support hiring managers with preparing job descriptions and person specifications.
* Create job adverts that are clear and engaging and post on relevant job platforms.
* Engage in communications with potential applicants and respond to any queries quickly and consistently, keeping hiring momentum strong.
* Review applications and conduct screening calls with candidates when required by the setting.
* Arrange and schedule interviews and prepare and provide all required paperwork to hiring panel in readiness to facilitate the interview process.
* Provide regular progress updates and recruitment data to hiring managers and stakeholders.
* Ensure candidates feel informed, respected and engaged at every stage.
* Discuss interview outcomes with hiring managers and make conditional job offers to successful candidates.
* Communicate progress to hiring manager up to the candidates’ start date.
• Proactively identify and streamline recruitment processes. Supporting proactive resourcing and talent pooling for future hiring needs.
Compliance & Pre-Employment Checks
• Carry out the onboarding process for all new starters, ensuring that all pre-employment checks are completed in line with the safer recruitment policies and KCSiE.
• Update and maintain the Single Central Record (SCR), record all pre-employment checks, ensuring compliance with statutory requirements.
• Ensure that all new starters are added to the HRIS system (hibob).
• Liaise with the IT team to ensure new starters have IT equipment and are added to the required systems.
• Liaise with the People Advisor to ensure that contracts of employment are issued before employment begins.
• Refer any issues with pre-employment checks to the People Advisor or People Partner.
• Assist the HR team in coordinating annual checks (e.g., DBS renewals, DUCAs).
General
• Provide general administrative support as reasonably requested.

Experience
• Previous experience in an administrative, recruitment, or HR support role
• Strong, confident written and verbal communication skills with the ability to adapt to individuals from a wide range of backgrounds
• Confidence working with multiple stakeholders and building credibility quickly
• A structured, organised approach to managing workload - Ability to manage multiple tasks in a fast-paced environment
• Front-facing customer service experience
• High attention to detail and accuracy
• Ability to handle confidential information with discretion
