Legal Executive Assistant - Private Client
FT Recruitment Group is recruiting on behalf of our client, FT Engineers, for an Executive Assistant role based in Edinburgh. This is a full‑time, permanent position.
About the role
Working with a prestigious law firm, you will provide executive administrative support to a busy Private Client team, ensuring smooth operations and delivering a high‑quality service to clients. The role requires exceptional clerical and administrative skills, strong time‑management, and the ability to handle multiple tasks efficiently.
Key Responsibilities
* Diary and appointment management, making appropriate arrangements
* Initial responsibility for taking new client enquiries, ensuring relevant background details are obtained and passed on accordingly
* Proactive email management, ensuring correct filing and highlighting important actions
* Prioritise and manage multiple projects, following through on issues in a timely manner
* Inputting and updating data into the required systems
* Assist with communications to clients and third parties, ensuring all messages are accurate and professional
* Preparation of spreadsheets and Letters of Engagement
* Organise expense claim forms and collate receipts
* Organise travel and accommodation, proactively sourcing relevant information for the trip
* Minute taking during meetings where appropriate
* Any other reasonable duties to support the team and facilitate an effective working environment
Suitable Candidates Should Have
* Experience as a Personal Assistant, Executive Assistant or in a similar role within a busy Private Client team
* Ability to work under pressure and against tight deadlines
* Excellent communication skills and confidence in dealing with people at all levels
* Strong teamwork attitude, willing to go beyond regular duties
* Professional image to clients and external organisations at all times
* Flexibility to adjust working hours to suit team needs when required
* Positive approach, willingness to adapt to changes
* Strong organisational and time‑management skills, with a strong work ethic
* IT literate; proficient with Microsoft Outlook, Word, Excel and PowerPoint; willingness to enhance skills through training
* Experience with Aderant, DMS and BigHand (preferred but not essential)
* Based locally in Edinburgh and must hold the right to work in the UK
