Personal Assistant

Salary: £33,000–£36,000 per year

40 hours per week

Hybrid: Home‑based with 2–3 days per week in our Salford office

We’re looking for an exceptional Personal Assistant to provide high‑level, confidential and proactive support to four Executive Directors within our Healthcare UK & I division. This is a role for someone who thrives on organisation, communication, and making things run smoothly behind the scenes.

If you’re a natural problem‑solver with impeccable attention to detail and the confidence to work with senior leaders, this could be the perfect next step.


The Role

You’ll be the trusted right hand to our Exec Directors, ensuring their time, priorities and communications are managed seamlessly. Your responsibilities will include:

* Managing complex diaries, scheduling meetings and coordinating travel
* Acting as a key communication link between executives, teams and stakeholders
* Preparing agendas, taking actions and following up on divisional and marketing meetings
* Creating, formatting and managing documents in Word, Excel, PowerPoint and Visio
* Handling confidential information with absolute professionalism
* Organising travel, accommodation and logistics for executives and colleagues
* Preparing and submitting expenses
* Managing digital files and supporting SAP processes (POs, invoices, AP queries)
* Supporting internal and external events, conferences and hospitality
* Managing mobile and laptop orders for Health & Care teams
* Overseeing the Health & Care Communications mailbox and daily comms circulation
* Coordinating recognition programmes including Spirit of Sodexo nominations and monthly awards
* Providing information to the Comms Team for internal updates
* Ensuring compliance with policies, including Gifts & Hospitality approvals
* Providing holiday/sickness cover for the Admin Manager
* Supporting project management tasks and reporting

* Excellent written and verbal communication
* High attention to detail and accuracy
* A calm, professional and resilient approach
* Ability to prioritise under pressure and adapt to changing needs
* Strong relationship‑building skills with internal and external stakeholders
* Proactive, solution‑focused mindset
* High proficiency in MS Office and collaboration tools
* Respect for confidentiality and experience handling sensitive information
