Job overview

This role is only open to applicants that currently work within an NHS Trust within the Hampshire and Isle of Wight Integrated Care System (HIOW ICS).

We are excited to announce the opening of our state-of-the-art Orthopaedic Centre in Winchester, scheduled for September 2025. This new facility is a testament to our Trust’s ongoing commitment to enhancing healthcare services in the region and working collaboratively with orthopaedic services across Hampshire and Isle of Wight to serve patients across our communities.

As the Specialty Administrator within the Hampshire Orthopaedic Centre you will strive for excellence in supporting patients through their care pathway.

The role will flex dependent on the needs of the service providing a balance of theatre booking and scheduling, general administration, data upload, reception and other duties commensurate with the banding of the post in order that our patients have a high quality patient pathway experience in line with NHS Constitutional Standards

The post holder will also be required to support the Specialty Co-ordinators and wider clerical team within the service and deputise for the Specialty Co-ordinators as and when required.

You will promote best practice, ensuring that administration is delivered to the standard the service expects, escalating issues and concerns as appropriate in a timely matter so as not to affect patient care.

You will be based at Royal Hampshire County Hospital

Main duties of the job

1. Managing the booking of theatre lists and admissions in line mandatory patient waiting time targets as outlined in NHS Constitutional Standards and as per coordinators instructions.
2. To receive internal and external telephone enquiries courteously and efficiently from patients, relatives, various hospital departments, GPs and other healthcare professionals, ensuring that accurate records of relevant conversations are kept, and the appropriate action is taken, relating to appointments, admissions and meetings. This will require significant tact and diplomacy especially with distressed patients. This also needs to be in a timely manner in line with Net call Trust Key Performance Indicators (KPIs).
3. Arrange hospital transport/interpreters and other necessary patient assistance (in accordance with Trust Policy) to ensure individual patient needs are met.
4. Responsible for receiving patient queries, written or verbal. Responding and resolving such queries ensuring patients’ needs are met, escalating within agreed protocols as required.
5. To support National Joint Registry mandatory data entries.
6. Ensure patient information is up to date and correct on the Trusts patient information systems and ensure patient confidentiality is maintained at all times.
7. Work closely with administrative teams with base Trusts for the Hampshire Orthopaedic Centre to ensure theatres are booked appropriately and per policy.

Essential criteria

8. Good standard of basic education with GCSE English Language or comparable relevant work experience
9. NVQ Level 3 or equivalent experience as below

10. ECDL, other information technology/word processing qualifications

11. Experience of working with IT systems e.g. Word/Excel/Access/ PowerPoint
12. Experience of being in a busy environment
13. Experience of adhering to targets
14. Experience of organising own work

15. Experience of working in an NHS environment or public sector

17. Good verbal and written communication skills including excellent telephone manner

22. Ability to analyse complex situations and make appropriate decisions
