We're looking for a highly organised Planned Preventative Maintenance (PPM) Coordinator to join our team. This role is key to keeping our operations running smoothly.

Required Skills and Abilities:
Essential:
* Strong organisational and scheduling skills to manage multiple maintenance activities at once.
* Confident using CAFM/management systems and Microsoft Office.
* Excellent communication skills to work effectively with engineers, contractors and clients.
* Sharp attention to detail with solid record-keeping and reporting abilities.
* Able to prioritise workloads and meet competing deadlines.
* Proactive and adaptable, responding quickly to changing site requirements.
Desirable:
* Experience coordinating PPM activities in a facilities or maintenance environment.
* Background in MoD or other high-security sites.
* Familiarity with recognised maintenance standards (e.g. SFG20).
* Experience managing supply chain performance and KPIs.
* Knowledge of statutory and regulatory requirements for planned maintenance and FM.
Main duties of the role:
* Coordinate and schedule all planned preventative maintenance tasks in line with statutory requirements and contractual obligations.
* Manage the PPM calendar to ensure timely completion of works by both internal teams and supply chain partners.
* Liaise with engineers, supervisors, and contractors to confirm attendance, access arrangements, and completion of scheduled activities.
* Ensure all relevant permits, RAMS, and authorisations are in place prior to works commencing.
* Monitor progress of PPM activities, escalating delays or issues to the relevant manager.
* Maintain accurate records of completed works, certificates, and compliance documentation within the CAFM system.
* Produce regular reports.
* Coordinate remedial works.
* Assist with procurement of parts and materials required for planned works.
* Work closely with site teams to ensure minimal disruption to operations during planned activities.
* Support audits, inspections, and client reviews by providing accurate data and documentation.
* Provide cover and support to the wider FM team during periods of absence or increased workload.
