Job Summary
We have an exciting opportunity for a Facilities Assistant to join the Edinburgh office on a 12-month FTC.
Job Description
The Facilities Administrator supports the management of facilities services and processes, delivering cost-effective solutions, best practices, and providing a safe working environment for employees and visitors. The role requires delivering high-level customer service, continuous improvement, and immediate solutions.
Key Responsibilities
* Be the first point of contact for all facilities-related calls and requests, working to strict SLAs.
* Manage requests end-to-end in line with KPIs, keeping requestors informed of progress.
* Escalate risk concerns to management promptly.
* Assist with booking Planned Preventative Maintenance and coordinate reactive maintenance tasks.
* Process original legal documents.
* Operate digital mailroom equipment such as guillotine, Cannon & HP printers, scanners, and folding machines.
* Manage contractors/vendors entering our offices, ensuring due diligence and proper induction of new vendors.
* Provide local site support as needed.
* Undertake health and safety roles such as First Aider and Fire Warden, and ensure H&S notices are current.
* Perform manual handling to support office churn activities.
* Assist with projects as required.
Qualifications and Skills
Must-have
* Experience in facilities management or print industries.
* Experience operating digital printing machines and knowledge of Fiery Print Software.
* Proficiency in Adobe Acrobat, Fiery, Microsoft Teams, Outlook, Excel, Word, PowerPoint.
* High customer service competency.
* Ability to lift/carry loads up to 25kg occasionally.
