Delta Energy Services provides Inspection Services to the global energy industry. Our Coventry Operations office services a range of Energy projects, and due to new contract awards, we’re looking to grow the team.
The Inspection department acts as the main focal point between field inspectors, our clients, and internal personnel. The role will initially involve supporting the department’s coordinators by providing admin services, while over time, transitioning into a coordinator within your own rights. The role that will require attention to detail, working proactively, multitasking and excellent communication skills.
We are not necessarily looking for a person with prior experience within the inspection industry; instead, someone who has worked in another sector, coordinating multiple stakeholders and/ or pieces of information at any time, and is willing to learn on the job. Most important is someone who is keen to learn but possesses the right attitude.
The purpose of the role is to support the inspection department in arranging activities, receiving and reviewing inspection reports, and ensuring their accuracy before delivering them to the client.
The key focus of the role is to ensure:
* Ensuring contracts are issued and returned.
* Onboarding of new consultants
* Processing of weekly and monthly timesheets to ensure accuracy and chasing for client approval.
* Ensuring Personnel information is up to date, including qualifications and competencies.
* Assist the coordinator in identifying suitably qualified and experienced personnel for requirements received from our clients.
* Deliverables are presented in the best possible quality. For example, CVs of candidates being proposed for assignments and the written quality and compliance of inspection reports being sent to the client.
* Documentation is stored correctly within Delta systems as per BMS procedures.
* Management of the company report folder within Outlook to ensure it is being used effectively and efficiently, i.e. reports are labelled per agreed system.
* All documentation is in good order to allow timely invoicing of clients (e.g. POs, IMFS and budgets), including follow-up of any outstanding documentation needed (e.g. Approved timesheets)
Job requirements:
Demonstrable experience in a similar/ relatable position (i.e. transport coordination, sales admin, or similar).
Willingness to learn a new industry.
Ability to communicate with a range of personnel clearly, both via email and on the phone.
