Job Responsibilities
* Provide comprehensive, professional, and confidential administrative and secretarial support to Community Beds Leads, using organisational skills and demonstrating high initiative and motivation.
* Manage and prioritise own workload in a managed environment.
* Maintain good communication and information sharing across inpatient units.
* Organise and coordinate meetings for team members and liaise with other departments and the Administration team.
* Provide procedural and non‑clinical advice and information to staff, patients, and outside agencies in the absence of Service Leads.
* Communicate effectively with the team and external agencies.
* Contribute to maintenance, evaluation, and development of the service, including use of SystemOne.
* Answer telephone calls.
* Liaise with external providers.
* Support clinicians with administrative tasks.
* Use clinical systems database SystemOne and other systems.
* Update and oversee databases.
* Take minutes for meetings.
* Manage rosters.
* Conduct audits.

Other Requirements
* Fluent communicator with excellent written English.
* Significant secretarial experience in a health care setting.
* Valid UK driving licence.
* Access to a car for business use (unless disability per Equality Act 2010).
* Experience working with the public, particularly on the phone.
* Experience supporting a large busy team in an admin capacity.
* Knowledge and experience of working with computerised data collection systems.
* Proven ability to manage own workload in a busy, fast‑moving environment.
* High level of accuracy and attention to detail.
* Experience with NHS record‑keeping systems such as SystemOne.
* Demonstrated interest in mental health & wellbeing.
Disclosure and Barring Service Check
This post requires a Disclosure and Barring Service check as per the Rehabilitation of Offenders Act (Exceptions Order) 1975.
Salary
£28,392 to £31,157 per annum pro rata.
Contract
Permanent.
