Admin Officer - Barnet Civil and Family Court
Contract: Until November 2026
Salary: £15.59 per hour
Location: Finchley, North London
Work setting: 5 days in office
This is a temporary contract role starting immediately (compliance dependant) for a six‑month duration, with a possible extension. The role requires full‑time in‑office work based at Barnet.
Job Description
Administration
* Preparing papers and files for court, tribunals, hearings and meetings.
* Producing court/tribunal documents.
* General photocopying and filing.
* Creating and updating records on the in‑house computer system and data input.
* Post opening and dispatch.
* Booking, preparing and organising meeting rooms, supporting training courses and other group activities.
* Preparing meeting agenda, joining instructions, handouts etc.
Drafting
* Standard letters and correspondence, minutes, notes, reports, submissions etc. according to guidelines and instructions.
* Maintaining accurate and concise notes on the appropriate operating systems following enquiries or case‑related actions.
Operations
* Clerking civil and family courts, tribunals and hearings, ensuring papers and materials are available and up to date.
* Assisting court users, supporting listing and rota management, checking files.
* Contacting relevant parties, scheduling, serving court documents, executing a range of warrants, collecting fines and fees, including chip and PIN payments.
* Handling counter (face‑to‑face) enquiries and a broad spectrum of written and telephone enquiries.
* Working as a team to ensure TIB (Team Information Board) meetings are relevant, timely and productive.
* Problem‑solving, assessing the impact of new SOPs, contributing to small projects.
Processing Casework
* Managing standard documentation and information, court orders, claims, fines and fees, legal aid.
* Accurately interpreting the information required on a court file.
* Meeting workload targets in terms of throughput and accuracy.
Checking and Verifying
* Documents, records, accounts, claims and returns for approval, results, statistics, plans etc. against criteria, regulations or procedures.
* Ensuring compliance and administration documentation meet quality standards.
* Cross‑checking and validating work completed by colleagues.
Collecting and Assembling Information
* Gathering returns, results, accounts, statements, warrants, statistical analysis, reports etc.
* Interpreting source materials, preparing bundles, chasing items.
* Modifying and adjusting information to allow work to be completed.
* Preparing information for and running the daily TIB meeting.
Undertaking Calculations
* Producing basic statistical analysis reports and processing financial information where required.
* Checking the work of others, updating records, assessing the value of goods or property, reconciling accounts, preparing invoices, gathering information and running straightforward reports.
* Spending limited sums of money on behalf of the office or unit.
* Calculating the anticipated number of jurors to be called and managing the numbers efficiently.
Communicating with the Public, Judiciary and other Stakeholders
* Communicating and working with the Judiciary, Magistracy, Cluster Managers, Court staff and other internal and external stakeholders, suppliers and customers to collect information, check facts, enforce judicial decisions, give advice on the completion of forms or court procedures and provide excellent customer service.
* Delivering helpful, prompt, polite and “right first time” service to internal and external customers.
