Job Overview
We are seeking a highly organised and proactive Deputy Manager to support the daily operations of our office. Duties (BUT NOT LIMITED TO)
* Assist in overseeing daily office operations to ensure smooth functioning.
* Manage scheduling, appointments, and correspondence to maintain effective communication within the team.
* Maintain accurate records through data entry and clerical tasks, ensuring all information is up-to-date.
* Utilise Microsoft Office and Google Workspace for document preparation, presentations, and data management.
* Handle phone calls with professionalism, demonstrating excellent phone etiquette while addressing inquiries or directing calls appropriately.
* Support financial processes by managing invoices and basic bookkeeping using QuickBooks.
* Collaborate with team members to streamline administrative processes and improve overall efficiency.
* Provide organisational support for meetings, including preparing agendas and taking minutes as required.
Experience
* Proven office experience with a strong background in administrative roles is essential.
* Proficiency in computer skills, particularly with EMIS, Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
* Familiarity with QuickBooks or similar accounting software is advantageous.
* Excellent typing skills with a focus on accuracy and attention to detail.
* Strong organisational skills with the ability to manage multiple tasks simultaneously while maintaining high standards of work quality.
