Detailed Job Description and Main Responsibilities
Project Delivery & Support
1. Deliver allocated project tasks in line with agreed timelines, scope, and governance
2. Support maintenance of project plans, risk logs, and issue trackers
3. Contribute to project reporting and highlight risks or delays
4. Support delivery of programme milestones across all medical specialties
System Configuration & Optimisation
5. Configure e-rostering system to support: Rota templates and structures Shift patterns and on-call arrangements Compliance rules (e.g. Working Time Regulations)
6. Support build and configuration of new services and rota models
7. Apply system changes based on agreed design and service requirements
8. Participate in system testing, validation, and user acceptance processes
Data Quality & Assurance
9. Ensure high standards of data accuracy within the rostering system
10. Support data cleansing, validation, and reconciliation activities
11. Ensure alignment between e-Rostering and ESR data (e.g. workforce changes)
12. Identify and resolve discrepancies impacting payroll, reporting, or rota accuracy
13. Support audit processes and compliance checks
Workforce & Rota Alignment
14. Support translation of workforce requirements into system configuration
15. Assist services in reviewing and improving rota structures
16. Ensure rota design reflects agreed workforce models and service demand
17. Contribute to improving rota efficiency and standardisation
Training & User Support
18. Deliver training sessions to rota coordinators and service teams
19. Provide user support during implementation and go-live
20. Develop and maintain training materials and user guides
21. Support system adoption and adherence to standard processes
Stakeholder Engagement
22. Work collaboratively with: Medical staffing teams Rota coordinators Service managers and clinical teams
23. Support engagement sessions, workshops, and system walkthroughs
24. Respond to user queries and provide system guidance
25. Escalate complex issues appropriately
System Administration & Technical Support
26. Support system access, user setup, and role-based permissions
27. Liaise with IT and system suppliers to resolve technical issues
28. Support system upgrades, enhancements, and testing cycles
29. Maintain configuration documentation and system records
Documentation & Communication
30. Maintain accurate and up-to-date documentation
31. Support development of SOPs, guidance, and training resources
32. Assist in maintaining the e-Rostering intranet page
33. Provide updates to stakeholders as required

Knwledge and Experience
Essential criteria
34. •Experience working within NHS rostering, workforce, or HR systems •Experience using e-rostering systems (e.g. RLDatix HealthRoster – Activity Manager) •Experience supporting system implementation or project delivery •Understanding of rota structures and clinical workforce requirements •Experience in system configuration or data management •Experience working with stakeholders across services •Experience in medical and dental rostering
