Overview

Join to apply for the Receptionist role at Mills & Reeve in Cambridge. This is a 35‑hour per week role, Monday – Friday, rotating between the hours of 8.00am – 6.00pm (with 1 hour lunch break).


The role

You'll play a key role in delivering a high-quality, responsive service that supports our colleagues, partners, and clients—ensuring their needs are met with professionalism and efficiency across all aspects of our internal operations and client-facing services.


Responsibilities

* Welcome visitors professionally and courteously; manage meeting room bookings; coordinate catering and AV/IT setups; maintain a tidy and well-presented reception area and client lounge.
* Handle incoming calls and emails efficiently; direct queries in line with the firm’s client contact policy.
* Support wider facilities operations: manage post and courier services, conduct daily building inspections, and maintain office equipment and supplies.
* Assist with office moves, reprographics tasks, and general maintenance; ensure the workspace is safe, functional, and well-stocked.
* Monitor shared inboxes, support file and deed audits, and liaise with contractors/service providers.
* Participate in health and safety procedures as fire warden and first aider; support emergency protocols.
* Cover colleagues during absences and assist with ad hoc tasks; maintain excellent organisational skills and attention to detail.

* Outstanding client service: proactive in supporting client needs, accurate data management, and positive representation of the firm.

* Workload management: meet deadlines, communicate capacity, and take initiative in problem-solving.
* Clear communication: handle enquiries professionally; manage calls and emails with courtesy; follow internal absence and leave procedures.
* IT proficiency: comfortable using Outlook, Teams, Mercury, Word, iManage, and other relevant systems.
* Personal development: take ownership of growth, seek feedback, identify training needs, and pursue opportunities to improve performance.


The activities

You will welcome visitors, manage bookings, handle correspondence, and ensure queries are directed appropriately. You will support post and courier services, building inspections, office equipment maintenance, and general administrative tasks.
