As our events portfolio continues to grow, we are looking for an organised, proactive, and enthusiastic Event Coordinator to support the planning and delivery of our shows.
Role Description
This is a part-time, hybrid role based in London, combining remote planning and administration with regular travel to venues and event sites across the UK and occasionally internationally.
The Event Coordinator will play a key role in supporting the successful planning and delivery of Lumina's drone light shows. You will work closely with venues, suppliers, production partners, entertainment providers, and the internal operations team to ensure every event is delivered safely, efficiently, and to the highest standard.
The role requires someone who is highly organised, comfortable managing multiple projects simultaneously, and willing to work flexible hours, including evenings and weekends, as required by the event schedule.
Key Responsibilities
Liaise with venues regarding event planning, logistics, operational requirements, and site access.
Coordinate suppliers, contractors, and production companies supporting Lumina events.
Source, book, and manage entertainment acts and event attractions that accompany our drone light shows.
Assist with event logistics, including accommodation, transport, equipment movements, and crew scheduling.
Maintain event timelines, planning trackers, and operational schedules.
Support the preparation of event documentation and operational plans.
Coordinate communications between clients, venues, suppliers, and internal teams.
Attend events across the UK and internationally to support on-site delivery and ensure operations run smoothly.
Assist with event setup, stakeholder management, VIP hosting, and supplier coordination on event days.
Support post-event reporting, supplier reconciliation, and client follow-up.
Qualifications & Experience
Previous experience in event planning, event operations, venue management, live events, festivals, exhibitions, or entertainment production.
Excellent organisational skills and attention to detail.
Strong communication and relationship management skills.
Ability to manage multiple projects and deadlines simultaneously.
Confident working independently and taking ownership of tasks.
Comfortable working in a fast-paced and dynamic environment.
Proficient with Microsoft Office, Google Workspace, and project management tools.
Full UK driving licence preferred.
Willingness to travel nationally and internationally as required.
Flexibility to work evenings and weekends around event schedules.
