An opportunity has been created for a Band 4 Medical Secretary to join our Older Adults Mental Health Home Treatment.
The Team supports patients over the age of 65 who present with a functional mental health concern (anxiety, depression, psychosis) and consists of a Consultant Psychiatrist, Speciality Doctor, Team Coordinator, Trainee Advanced Care Practitioner, nurses and healthcare support workers.
The post holder will be expected to provide efficient and effective medical secretarial support to the Consultant and associated medical staff. They will assist in the organisation of the Consultant's workload, having a positive, enthusiastic and “can do” attitude with a strong work ethic.
They must have excellent communication skills and be comfortable in dealing with patients and carers’ telephone calls and queries. They will require competency in all Microsoft Office 365 packages. Knowledge of RIO would be advantageous but training can be provided. The ability to demonstrate your initiative and work as part of a dedicated team is an important part of this job.
The medical secretary faces a challenging range of tasks including acting as a personal assistant to Consultant Psychiatrist, you will be required to support the co‑ordination of team working, supporting Multi‑disciplinary meetings and associated administrative work.
The post holder will be based at the Manthorpe Centre at Grantham Hospital and flexible working can be discussed in line with the service needs.
Responsibilities
* To produce accurate, high quality medical correspondence, letters, Mental Health Act reports, memoranda and other documents, of which some may be non‑routine, as required using audio/copying typing and word processing systems.
* To develop and create reports using computer software.
* Use own initiative to organise, prioritise and co‑ordinate workload ensuring that deadlines are met.
* Handle incoming and outgoing telephone calls to the consultant in a polite and efficient manner. Receive and deal with telephone enquiries, responding appropriately to callers including high‑risk, abusive, threatening, depressed, suicidal and vulnerable clients and carers.
* Maintain strict confidentiality at all times.
* Record accurate messages and follow them up appropriately.
* Deal face‑to‑face with clients seeking further help/information and be aware of the needs of service users and deal in an appropriate manner with the users who are occasionally hostile, abusive and aggressive.
* Deal with queries raised by patients, relatives, GP's or other healthcare professionals internally and externally to the hospital. These are often of a non‑routine nature and involving complex issues such as medication and other clinical treatments.
* Support the coordination of team working, supporting multidisciplinary meetings and related administrative work.
Qualifications
* Excellent communication skills and ability to manage telephone calls and queries.
* Proficiency in Microsoft Office 365 packages.
* Knowledge of RIO is advantageous; training can be provided.
* Strong work ethic, positive attitude, and initiative.
* Ability to work as part of a dedicated team under challenging and unpredictable circumstances.
* Strict adherence to confidentiality and professional standards.
