Vacancy: Conveyancing Assistant

Our client is seeking an organised and proactive Conveyancing Assistant to join their team. You will support fee earners in delivering an efficient, professional, and client-focused conveyancing service.
Key Responsibilities
* Act as the first point of contact by answering calls and providing updates to clients, referrers, and other stakeholders.
* Maintain and update case management systems and online portals, including Quill, Legal Bricks, LMS, Lender Exchange, ULS, Land Registry, and HMRC platforms.
* Prepare and send client care documents, including costs estimates, ID checks, and initial funds on account letters.
* Support clients in using the Legal Bricks portal.
* Carry out dictation and administrative tasks as directed by fee earners, including drafting standard and bespoke correspondence.
* Obtain copy titles, draft, and issue contract packs.
* Apply for searches and carry out map searches.
* Monitor lender portals for mortgage offers and upload final search results as required.
* Prepare files for completion, request mortgage monies, and ensure completion packs are processed in a timely manner.
* Submit SDLT forms and payments to HMRC.
* Check ledgers, reconcile balances, and close files when appropriate.
Candidates applying for the Conveyancing Assistant role will need:
* Previous experience in a conveyancing support or legal assistant role.
* Working knowledge of conveyancing processes from file opening to post-completion.
* Confident in using case management systems and legal software (e.g., Quill, Legal Bricks, LMS, Land Registry, HMRC portals).
* Strong administrative and organisational skills, with the ability to manage multiple tasks and deadlines.
* Excellent communication skills (both written and verbal), with a professional telephone manner.
* High level of accuracy and attention to detail.
