We are looking to recruit a proactive and detail-oriented People & Education Administrator to join our dynamic team.

Contract: Permanent

Salary: £24,793 - £26,444 per annum, pro rata. Band 3 Competency Based Framework.

Working Pattern: 30hours over 4 days per week, Monday - Thursday.

Based at: Cross site. Based at Heald Green, with one day aweek at Little Hulton.

The successful candidate will be subject to a Standard/EnhancedDBS Check, the cost of which is covered by the hospice. Any post holder withinthe organisation will be expected to undertake safeguarding trainingappropriate to their role and adhere to safeguarding policies and procedures.All staff must work in accordance with their statutory roles andresponsibilities in relation to safeguarding in accordance with the WorkingTogether to Safeguarding Children 2023, The Care Act 2014, and Prevent Duty2015.

Main duties of the job

The People and Education Administrator provides essential administrative support to enable the effective and compliant day-to-day delivery of People and Education services across the full lifecycle of employees and volunteers. This includes coordinating key processes such as recruitment advertising, onboarding, learning, and offboarding, and responding to routine queries in line with agreed procedures.

By fostering strong working relationships with internal stakeholders and contributing to continuous improvement, the role also supports the wider team in achieving strategic goals that enhance the overall employee and volunteer experience and organisational development.

Job responsibilities

The People & Education Administrator will:

* Respondto People and Education-related queries via phone, face to face, Teams andemail, providing accurate information with reference to policies and agreedprocesses and procedures, signposting to relevant team members as needed
* Maintainawareness and understanding of hospice People policies and procedures, signpostingand providing information or clarification and escalating to colleagues when required
* Administermaternity, paternity, adoption and shared parental leave processes
* Ensureall employee and volunteer professional registration details are current andup-to-date
* Collateand submit all payroll information to the Payroll Manager in line with agreedmonthly schedule
* Support recruitment activity by:
* Posting job adverts on relevantplatforms.
* Liaising with candidates once offers aremade to coordinate the completion of pre-employment checks.
* Ensuring all required documentation iscompleted before notifying managers to arrange start dates.
* Prepareand issue offer letters, contracts of employment and volunteer agreements
* Processall pre-employment and pre-volunteering checks, including Right to Work, DBS,Occupational Health and Reference checks
* Processleavers files and documentation and update records accordingly
* Maintainaccurate and up-to-date People and Education records in the People database andapplicable electronic files for employees and volunteers
* Provideadministrative support for all departmental projects, initiatives and other activitiesas directed.
* Co-ordinateadministration for external Education, organisational induction, Clinical and Non-Clinicaleducation, including safeguarding training
* Arrangeexternal and internal bookings for education events.
* Supportthe development and set up of employee and volunteer learning activities on theLearning Management System (LMS)
* Generatereports on eLearning and Mandatory Training
* Co-ordinatestudent placements, under the guidance of the Education and Development Manager
* Contributeto continuous improvement by reflecting and researching


Person Specification


Experience

* Proven administrative experience in a busy, fast-paced office environment
* The ability to travel independently to our two hospice sites
* Demonstrate a high level of accuracy and excellent attention to detail
* Organise and prioritise workload effectively to meet deadlines
* Communicate confidently and professionally, both verbally and in writing with a variety of stakeholders
* Work independently using initiative, as well as collaboratively within a team
* Handle sensitive information with discretion and maintain confidentiality
* Demonstrate proficient use of Microsoft 365applications, particularly Outlook, Word, Excel (beginner level)
* Use or learn HR systems such as Ciphr People
* Demonstrate a willingness to develop IT and digital skills to support organisational objectives
* Work proactively and adapt to changing priorities and demands
* Embrace change and actively seek opportunities to improve processes
* Experience supporting HR and/or Training administration


Qualifications

* A good standard of general education to a minimum of GCSE grade C / 4 A* / 9
