Overview

This is an entry level Modern Apprentice position in Receptionist/Administration at a busy medical practice in Grangemouth. The role involves reception duties and providing general support to the multidisciplinary team. Responsibilities include greeting and directing patients, using the appointment system, booking appointments, processing information, and liaising with staff and external agencies. The role supports on-the-job learning toward a Level 6 SVQ in Business and Administration.


Responsibilities

* Processing requests for appointments and prescription requests
* Liaising with pharmacies to ensure smooth prescription ordering and collection
* Managing the appointments system to ensure patient flow
* Processing outgoing samples with Health and Safety adherence within required timeframes
* Answering incoming phone calls and directing callers appropriately
* Signposting patients to the appropriate healthcare professional
* Initiating contact with and responding to requests from patients, team members and external agencies
* Administering patient records and inputting data into healthcare records
* Managing queries efficiently and performing system searches as needed
* Maintaining a clean and effective working area and reception/notice boards
* Supporting clinical staff with general tasks as requested
* Contributing ideas to the smooth running of reception and administrative functions
* Adhering to the Practice confidentiality statement at all times
* Undertaking a Level 6 SVQ in Business and Administration with support provided


Qualifications and Skills

* National 5 qualifications (English, Mathematics, and Business and Administration) desirable but not essential
* Good communication and interpersonal skills
* Previous customer service experience desirable
* Enthusiasm and a can-do attitude; willingness to learn and work hard
* Ability to work well as part of a team
* Time management skills to balance duties and SVQ work
* Ability to maintain confidentiality when handling sensitive information
