Overview
Job Title: Planning Administrator
Location: Horley (Office-based)
Contract: Temporary - Ongoing
Hours: 09:00 - 18:00 or 08:00 - 17:00 Monday to Friday
Responsibilities
* Coordinate and manage daily and weekly schedules for engineers across multiple projects.
* Liaise with internal teams, clients, and field engineers to confirm appointments, site visits, and project timelines.
* Update and maintain scheduling systems and project trackers with accurate, real-time information.
* Monitor workloads, prioritise urgent tasks, and adjust schedules as needed to accommodate changes.
* Produce and distribute daily/weekly planning reports for management.
* Communicate technical information clearly and accurately between office and field teams.
* Support project documentation, data entry, and administrative processes as required.
Skills & Experience (Qualifications)
* Proven experience in scheduling, planning, or diary management (ideally in a technical, engineering, or construction-related environment).
* Exceptional attention to detail and organisational skills.
* Strong communication skills with the ability to liaise confidently with technical staff and clients.
* Proficient in MS Office (particularly Excel and Outlook); experience with scheduling software advantageous.
* Ability to multitask and remain calm under pressure in a fast-paced environment.
* Proactive, reliable, and able to work both independently and as part of a team.
* Ideally from a production planning background
