Job Summary:
As a Care Office Administrator, you will play a crucial role in providing all the necessary administrative support for Senior Care Management team. You will take responsibility for various organisational needs such as records, staff scheduling, recruitment, regulatory requirements for inspection and internal review, marketing and liaising with residents and families.
You will be directly responsible to the Care Manager and will be expected to undertake any task as appropriate to the role to provide support for her and the Senior Management Team, to support the overall objectives of the home.
Key Responsibilities
* General office duties including filing, answering incoming calls with positive telephone manner and dealing with enquiries, managing email inboxes and stock control of stationery supplies.
* Preparing documentation for recruitment, processing DBS checks and references and creating staff contracts.
* Accurate minute taking of meetings and distributing to relevant persons.
* Updating relevant databases and staff records.
* Reporting to Care Manager on various operational audits to ensure operational compliance.
* Managing staff schedules, holiday requests, absence and training.
* Internal communications such photo display boards and screens, sending organisational updates to staff, residents and families.
* To be proactive in working with Senior Management Team to improve operational practices.
* Building relationships with residents’ family and friends to promote the wellbeing of our residents.
* Maintain confidentiality, adhering to all company policies and procedures relating to GDPR.
Your abilities
Essential
* Able to communicate effectively, both written and verbal, and work collaboratively with others.
* Strong attention to detail and organisational skills.
* Competent in using Excel, Word, Outlook and electronic HR systems.
* Self-motivated, with a desire to learn new skills.
* Receptive to feedback.
* Being able to remain calm under pressure.
* Ability to manage workload effectively, managing additional requirements alongside day-to-day activities when required.
* To be respectful and kind towards residents, relatives and colleagues.

Desirable but not essential
* Previous experience in similar setting.
Physical Requirements
* Capable of being able to work at a desk in office environment.
Hours and Work Environment
* Weekday hours Mon-Fri.
* Residential care home, specialised dementia care and sheltered accommodation on site.
