Purpose of Role
The Operations Coordinator will act as a central point of coordination between all CUKG divisions — Security Services, Facilities Management, Circle Academy and Circle Support Services. The role ensures effective communication, task execution, and compliance across departments in line with the General Manager’s directions. This role is vital in supporting seamless service delivery, maintaining compliance with regulatory standards, and ensuring operational efficiency.
Key Responsibilities
1. Operational Coordination
* Coordinate day-to-day activities across CUKG divisions in line with priorities set by the GM.
* Act as liaison between departments (Operations, HR & Vetting, HSE & Compliance, Sales, Finance, and Training) to ensure smooth information flow.
* Monitor progress of assigned projects, escalating risks or delays to the GM promptly.
* Ensure site instructions, staff schedules, and client requirements are communicated effectively to divisional teams.
2. Compliance & Standards
* Support adherence to SIA licensing requirements, BS 7858 screening, BS 7499, BS 10800, BS 8517-1, and ISO 9001 standards across operations.
* Assist the GM in preparing documentation for audits (ACS, ISO, CHAS, Safe Contractor, etc.).
* Ensure compliance-related data (vetting records, training logs, site risk assessments, incident reports) is tracked and updated.
3. Performance & Reporting
* Collect, review, and present weekly and monthly operational performance reports to the GM.
* Track KPIs across divisions, identifying gaps and suggesting improvements.
4. Client & Staff Support
* Assist the GM in coordinating responses to client requests, complaints, or escalations.
* Liaise with HR/Vetting to support recruitment, onboarding, and scheduling.
* Maintain effective communication with frontline staff to ensure engagement and feedback loops.
5. Administrative & Strategic Support
* Prepare meeting agendas, minutes, and follow-up action logs for the GM.
* Support the rollout of new systems, processes, or service lines across the business.
* Coordinate cross-departmental initiatives (e.g., H&S campaigns, training rollouts, mobilisation of new contracts).
Skills & Competencies
* Strong organizational and multitasking skills.
* Excellent communication (written and verbal) across all levels.
* Good working knowledge of UK compliance requirements relevant to security and FM.
* Proficiency in Microsoft Office Suite and business management software ( CRM, rostering tools).
* Ability to analyze data and prepare clear reports.
* Proactive, detail-oriented, and solution-focused.
Qualifications & Experience
* Experience in multi-division or multi-site coordination is preferred but not essential.
* Valid SIA license (frontline or non-frontline) preferred but not essential.

* Internal: GM, Operations Managers, HR & Vetting, HSE & Compliance, Finance, Sales, Training Academy.
* External: Clients, auditors, subcontractors, suppliers, regulatory bodies.
Performance Indicators
* Timely delivery of GM-directed tasks and projects.

* Contribution to maintaining ACS and ISO standards.
