Wage: Apprenticeship Wage

The role-holder will support the People and Education department to ensure that all admin processes run smoothly and efficiently and are easy to use and navigate. Responsible for assisting and maintaining the HR system on a daily basis and ensure that data is uploaded onto the systems accurately to ensure that all relevant information is available to the business to support the workforce, covering both permanent and temporary resource.

Duties


Role Responsibilities


Service Delivery

* Co-operates and communicates with all employees/managers at all times.
* Answer HR queries from employees and external providers that are received by phone and email.


System Administration

* Organises and maintains employees’ personnel records/files.
* Helps support change management processes.
* Assisting in updating the HR system on a daily basis.
* Updating mandatory training completion certificates
* Chasing outstanding mandatory training
* Creating and issuing reports when requested by managers.
* Updating Click travel with new colleagues and removing leavers.
* Checking Premier Inn and Travelodge accounts against Click travel.
* Booking and approvals of travel for colleagues and managers when required


Starters/Movers/Leavers

* Prepares new employee starter packs on a weekly basis including…. State what
* Carry out compliance checks for all Permanent staff.
* Register and carry out compliance checks for all Sessional and Bank staff.
* Providing support to the HR team to meet SLA’s on offers, contracts of employment, changes to terms and conditions of employment.


General Administration Duties

* Carries out any other reasonable tasks as requested by the People Service Delivery Lead, People Business Partners and Chief People Officer.
* Supports People team with updates and maintains the People Policies, Letters & Documents
* Completes daily, weekly and monthly work schedule/task lists.
* Helps support other members of the People team.


Quality Assurance

* To identify ways of continued quality improvement.
* Improve service quality by evaluating systems and devising new processes as appropriate.


Communication

* Regularly attend team and other meetings as appropriate, contributing positively to discussions and debates and participating in shared decision making.
* Ensure effective communication including the dissemination of information accurately and timely to support effective team working.
* Act at all times as an ambassador for the organisation and maintain positive and effective communication both internally and externally in representing the service offered by CHEC.
* Produce clear, legible and consistent written documentation.


Professional

* Ensure that personal actions and conduct apply with CHEC policies and procedures.
* Take responsibility for identifying own personal development and education needs ensuring all identified areas for development are completed and kept up to date.
* Adopt and present a proactive approach to personal and professional development, participating in annual appraisal, learning opportunities and reflective practice.
* To maintain confidentiality in all aspects of the role, as appropriate. Disclosure to any unauthorised person is considered a disciplinary offence.


Other Activities

* Awareness and compliance of ISO9001, ISO27001 and GDPR regulations
* Responsible for the oversight and continual improvement of the management systems (IMS) including clear objectives and focus for all employees and clear and appropriate standards and measures of performance to satisfy the standards, legal and other obligations
* To help create a culture of learning, trust, and self-improvement
* Any other duties as required


Working Hours Per Week

37.5 hours per week
