Job Title: Technical Operations Administrator
Reporting to: Technical Operations Learning and Development Manager
Department: Technical Operations
Based: Croydon
Objective of the role: To provide efficient and proactive administrative support to the Technical Operations Department.
Hours: 35 hours per week, Monday to Friday.
Main Duties
General Administration
* Technician NatWest expenses:
o Ensure technician NatWest statements are submitted according to Standard Operating Procedures (SOPs).
o Check that technicians have completed NatWest correctly and all receipts are provided.
o Record all relevant information on the central SharePoint spreadsheet.
o Follow up with technicians on errors or irregularities.
o Prepare monthly audit selections for Technician Team Managers.
* Technician Uniform:
o Order new uniforms requested by technicians.
o Monitor and account for stocked uniforms, and dispose of them when required.
o Liaise with the Technical Training Team and update on uniform orders during technician induction.
* Fleet Support:
o Renew road tax.
o Handle queries related to PCNs and traffic offences.
* Ad hoc duties:
o Arrange hotel bookings upon request.
o Raise POs for invoices and notify Accounts Payable.
o Process Toll Tag payments.
o Update technician database for new starters and leavers.
o Log Agent Network PAS43 and insurance details.
o Record technician holidays and sickness.
o Handle telephone and email queries efficiently.
o Check ABS task list for technician attachments and assign to RSA case files.
Additional Responsibilities
* Health & Safety:
o Maintain a safe and tidy work area.
o Comply with the Health & Safety Work Act 1974.
o Report any health and safety issues to the appropriate personnel.
* Training:
o Inform your manager of any additional training needs.
* Quality Management System:
o Follow all documented quality procedures and instructions as part of the team.

Appraisals
* Participate in annual appraisals, team meetings, and one-to-one assessments.

* Work within and adhere to all relevant regulations and legislation applicable to the role.
