Job Description
PortmanDentex is looking for a Company Secretary who will play a key role in supporting our board and leadership team, helping to keep our governance and regulatory responsibilities running smoothly. This role sits at the heart of how we stay organised, compliant and connected, working closely with the Executive team, offering thoughtful administrative support and joining ad‑hoc meetings when needed.
Reporting to the Legal Director, Group CFO, CFO and FD, you'll take ownership of a wide range of Company Secretarial and regulatory duties — from managing Companies House correspondence and ensuring annual confirmation statements are filed on time, to supporting shareholder communications and preparing KYC information for banks and regulatory bodies. You'll keep our registers for NDAs, contracts and Powers of Attorney up to date, assist with director MIPs and clinician earnouts, and act as a named contact for Companies House e‑reminders. You'll also help coordinate director document signings for acquisitions and provide flexible, reliable administrative support wherever it's needed across the business.
Qualifications

Experience in a Company Secretary support role, or in a similar governance‑focused position.
Strong background as a senior PA or Administrator, ideally supporting busy Board‑level leaders.
Comfortable working in a fast‑growing, ever‑evolving environment, with the confidence to adapt as the role and organisation continue to develop.
A positive, can‑do approach, with the flexibility to navigate ambiguity and help move things forward.
A natural problem‑solver who spots gaps, picks up tasks that need a home, and ensures they're handled by the right people.
Committed to delivering an excellent level of service to colleagues, partners and all stakeholders.
Confident communicating with people at every level across PortmanDentex, with the presence and credibility to influence when needed.
Highly proficient in Microsoft Outlook, Word and PowerPoint, and a confident user of Excel.
