Job Description


As Project Assistant, you will support the delivery of engineering services for a major nuclear power project by assisting the Project Director and team with day-to-day project operations, people coordination, and administrative processes.

Your role will focus on supporting onboarding of new team members, facilitating people-related procedures, helping with the organisation of project events, and maintaining a well-organised, collaborative working environment across this major infrastructure programme.

Key Responsibilities:

* Provide day-to-day administrative and organisational support to the Project Director and wider project team.
* Coordinate onboarding for new team members, including preparing induction packs, organising introductory meetings, and ensuring smooth integration into the team and project tools.
* Support people-related procedures (maintaining training and certification records, coordinating timesheet validations, assisting with travel or accommodation arrangements as needed).
* Help prepare project correspondence, format documents and presentations, and ensure templates and registers are kept up to date.
* Organise and support internal team meetings and workshops (booking rooms, preparing agendas and materials, taking notes, tracking actions).
* Coordinate project events, such as team-building activities, project milestone celebrations, or briefings with consortium partners — managing logistics, invitations, and follow-up communications.
* Maintain accurate project directories and role matrices, acting as a friendly point of contact for daily team needs.
* Contribute to fostering a positive team culture aligned with ICOSH values of collaboration, empowerment, and excellence.

Qualifications

* Experience in a project support, administrative, or coordination role, ideally within engineering, construction, or large-scale programmes
* Strong organisational skills with excellent attention to detail and ability to juggle multiple priorities
* Confident written and verbal communicator, able to interact professionally with all levels of the organisation
* Comfortable with MS Office (Word, Excel, PowerPoint); experience with document management tools or SharePoint is a plus
* Positive, proactive, and approachable, with a keen interest in supporting people processes and team needs
* Previous involvement in organising team or corporate events is desirable
* Interest in the nuclear or broader energy sector is an advantage
