Who are we looking for ?

We're looking for a proactive and detail-driven individual to take ownership of our Engineering Department's CMMS system, streamline materials and parts management, and play a key role in maintaining compliance and safety standards. If you thrive on structure, enjoy coordinating multiple moving parts, and are eager to grow your skills in engineering administration through hands-on learning, this dynamic role is your perfect next step

Key Responsibilities

Primary Roles:

* Conduct COSHH risk assessments on any new substances and update existing COSHH risk assessments when a new SDS is issued.
* Assist with training out of new/reviewed department Risk Assessments and SSOW
* Ordering of stock and monitoring deliveries and receipt for all sites. This includes site consumables such as stationery and canteen supplies.
* Putting delivered stock away whilst ensuring items are added to the stock sheets
* Maintain tidy storerooms for spare parts
* Arranging contractors/service visits to site as needed.
* Ensure contractors provide RAMS and liaise with engineers to permit when on site
* Stock updates - update stores sheet weekly to reflect what has been received or booked out.
* Assist with maintaining overtime and call out logs for each site.
* Help to organise and assist with the annual stock take for Engineering
* Assist in the organisation of training for engineers and maintain records of completed training
* General administrative duties including organising and coordinating customer visits and management meetings
* Administering checks to production and warehouse paperwork ensuring that documents are completed correctly and filing them ready for any audits which may take place.
* Compile induction plans for new starters to site, assist with inductions and contractor inductions when requested.
* Dealing with calls/visitors to site in a polite and courteous manner
Secondary Roles:
* Administer purchasing and stock control systems being used within the Engineering Department.
* Support Engineering Coordinator during audits and provide records of works carried out and any other requests an auditor may make (such as part information/food safety documentation).
* Carry out any reasonable requests from the Engineering Coordinator and Bedford Site Manager.
* Receive maintenance requests and upload to the CMMS. Assign work to the appropriate engineer for Bedford (KP, Symmetry Park and Atlas House when cover is needed). Track the completion of this work and follow up with engineers if work orders have not been completed.
* To be able to travel between three sites Hitchin, Biggleswade and Bedford with use of own vehicle.
* Support site with sustainability initiatives
Candidate Profile
* Educated to GCSE level or equivalent
* Good standard of written and spoken English
* Previous experience in an administrative role
* Proficient in Microsoft Word, Excel, and Outlook
* Experience in producing electronic reports
* Above-average IT skills
* Full, clean driving licence and access to own vehicle
* Able to reliably commute to the primary place of work and other sites if required
* Strong communication and interpersonal skills
* Ability to work well with colleagues at all levels within the organisation
* Capable of building and maintaining effective working relationships
