Reporting to the Dean of the School of Nursing, the Administrative Assistant provides high-level administrative support ensuring the smooth operation of the Dean’s Office and supporting the School’s academic and operational functions. This role involves managing budgets, coordinating events, overseeing office processes, and supervising support staff and student workers.
DUTIES AND RESPONSIBILITIES
* Manage daily operations of the Dean’s Office, including scheduling meetings, coordinating travel, maintaining records, and managing office supplies and equipment.
* Serve as the primary point of contact for internal and external communications on behalf of the Dean.
* Maintain confidential records and ensure secure handling of sensitive information.
Project & Event Coordination
* Plan and execute School events, including securing venues, arranging catering, preparing materials, and managing logistics.
* Coordinate special projects and initiatives involving multiple departments or stakeholders.
* Monitor and reconcile multiple departmental budgets and accounts; prepare financial reports to support decision-making.
* Track faculty overloads and generate corresponding contracts.
* Compile and submit required reports to accrediting bodies.
Human Resources Support
* Assist with faculty and staff recruitment processes, including managing candidate files, coordinating interviews, and onboarding new hires.
* Prepare employment-related documentation and maintain accurate records.
Supervision & Collaboration
* Assign and oversee work of administrative support staff, student workers, and graduate assistants.
* Collaborate effectively with faculty, staff, students, vendors, and board members to support School operations.
MINIMUM QUALIFICATIONS
* High school diploma or equivalent.
* 5–7 years of relevant administrative experience in a service-oriented environment.
* Proficiency in Microsoft Office Suite and internet research.
* Ability to learn and use university systems and databases.
* Strong written and verbal communication skills.
* Demonstrated ability to manage financial records and perform accurate data entry.
* Excellent organizational skills with attention to detail and ability to multitask.
* Experience maintaining complex filing systems.
* Proven ability to handle confidential information with discretion.
* Ability to work independently and collaboratively in a fast-paced environment.
PREFERRED QUALIFICATIONS
* Associate’s or Bachelor’s degree in a related field.
* Experience in project coordination and event planning.
* Advanced skills in data management and financial reporting.
PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS
* Fast-paced office environment requiring attention to detail.
* Must be able to sit at a computer and operate office equipment for extended periods.
