Job title: Administrator

Salary: £12.75 per hour (under review)

Hours: 26.5 hrs per week – Mon 8am-2pm, Tue 1-6.30pm, Wed 1-6.30pm, Thu 9am-1pm, Fri 1-6.30pm


Duties and Responsibilities

* Scanning: Scan patient‑related documents onto their medical record using read codes agreed by the clinical team, add source information, forward to the appropriate clinician, and ensure incoming letters are scanned within 48/72 hours. Store documents in line with surgery procedures.
* Coding: Identify relevant clinical information in patient correspondence, code or free‑text it onto the record, and deal with coding queries.
* New patient registrations: Maintain the registrations workflow, register new patients (regular, temporary, homeless, private), follow up administrative tasks, and process online access applications as per protocol.
* GP2GP tasks: Monitor and action GP2GP tasks within the EMIS system, ensuring correct protocol paths.
* Non‑clinical triage and care navigation: Receive and process patient requests via telephone, online, or in person; record urgency, direct to the appropriate clinician or service; escalates clinical concerns or red‑flag symptoms promptly; and monitor triage lists.
* Telephones: Make and receive calls, maintain professional telephone manner, and address patient queries timely.
* Emails: Monitor and process or signpost emails appropriately and promptly.
* Medical Reports: Process requests for medical reports or SARs within 28 days, following GDPR processes.
* Confidentiality: Respect patient privacy, keep information strictly confidential, and disclose only to authorised persons per policies.
* Health & Safety: Promote and maintain health, safety, and security, use personal security systems, manage work risks, maintain tidy work areas, and undertake annual infection control training.
* Equality & Diversity: Support the rights of patients, carers, and colleagues, act welcomingly, and respect privacy and dignity.
* Personal / Professional Development: Participate in training programmes, review performance, maintain a personal development record, and pursue learning to improve performance.
* Quality: Alert others to quality issues, assess own performance, contribute to team improvement, manage own workload effectively, and collaborate with other agencies.
* Communication: Communicate effectively with team members, patients, and carers, and adapt communication methods to diverse needs.
* Service Implementation: Apply practice policies, discuss their impact with team members, and participate in reviews and audits.
