Offer description

We are recruiting for an Office Administrator for a 6 month contract to support with office cover, working 37 hours per week.

Working closely alongside the Business Administration Team, the role will provide all round administration support for the Theale and Milton Keynes office.

The successful candidate would be based in the Theale office but must be able to travel occasionally to the Milton Keynes office.

Main Responsibilities:

Be first point of call with regards to knowledge about facilities and equipment at the Reading office and provide ad-hoc support to Milton Keynes Office [to racing team when needed]

Responsibilities:

1. Managing inventory of office and kitchen supplies, supporting the purchasing process and liaising with suppliers
2. Coordinate and support the maintenance of office facilities and equipment, including vehicles,
3. Filing, greeting visitors and meeting/event administration,
4. Supporting the coordination of meetings and business travel, including managing schedules and booking transportation
5. Post collection and processing
6. Logistics support to other departments
7. Vendor Management, including New Vendor Registration in System
8. Recording and processing of vendor invoices.
9. Support processing of expenses on finance system
10. General purchasing administration including negotiation with suppliers
11. Updating HR system with any changes

Experience:

12. Skilled user of Microsoft Word, Excel, PowerPoint and Outlook.
13. Highly motivated, accurate, works well under pressure and has a ‘can do’ approach.
14. Excellent interpersonal, organisational, verbal, and written communication skills

The role is inside IR35 and is £120 per day PAYE ( £31200 annual salary equivalent)- 37 hour week, 3 days in the office at Theale and 2 WFH.
