Spire Norwich Hospital are recruiting for a Support Medical Secretary to join their established team on a full time, permanent basis where you will be based on site Monday - Friday. In this role you would be responsible for providing cover support for the medical secretariat, delivering an efficient secretarial and administrative service to consultants; including the running of their practice financial accounts.
Duties & Responsibilities:
* Provide cover for the Medical Secretariat.
* To work as a member of a team within the Outpatient Dept. providing a secretarial and administrative service to consultants.
* Accurately transcribing from audio dictation, with medical terminology, all correspondence to external stakeholders.
* Dealing with the private accounts of the consultants to include sending out invoices, credit control and maintaining an accurate accounting system of payments received.
* Liaise closely with other departments within the hospital.
* To organize and manage outpatient clinic notes: ensuring all correspondence and results are available.
* Arrange patients’ admissions by liaising with consultants, and other departments within the hospital.
* Dealing and being confident with telephone enquiries from patient, medical staff, GP’s and other professionals at all levels, in a timely and courteous manner, providing advice, information, guidance and reassurance as required.
* Ensure health insurance claims forms are correctly filled out.
* Maintain an accurate filing system.
* Handling sensitive and confidential work.
* Liaise with the Private Patient advisors advisor regarding self-funding patients
* Co-operating with colleagues to ensure the highest quality of provisions for patients.
* Perform other duties delegated from time to time to ensure the smooth operation of the department and/or hospital.
* The secretary will handle on a day to day basis a variety of customer generated enquiries.
* Liaise with insurance companies on behalf of patients when trying to settle consultant invoices.
* Ensure that the scheduling of bookings are communicated across the hospital along with the consultants.
* Documentation must be kept up-to-date at all times.
What we are looking for:
* Comes from a similar role with aligned experience.
* RSA qualification in medical typing / medical word processing is desirable but not essential.
* Previous experience within a medical environment.
* Good literacy and numeracy skills.
* Good understanding of Microsoft office programs.
* To comply with mandatory training requirements.
* Must always take a customer focused approach.
* Total confidentiality is expected at all times.
* Good communication and interpersonal skills
* Flexible – to be able to multi-task and prioritise
* Good team worker
