Role Purpose
The Medical Recovery Administrator is responsible for coordinating and managing every aspect of the move‑in process for new Recovery Members, ensuring each stage is handled smoothly, efficiently, and in line with Loveday’s exceptional standards. This is a member‑facing role that blends meticulous administration with warm, confident communication. The ideal candidate will have a hospital or clinical background and be comfortable working with consultants, prospective Members, and their families. Proficiency in CRM systems, accurate record‑keeping, and strong organisational skills are essential. A core part of the role involves welcoming prospective Members to the 1150 Club and confidently showcasing what makes a Loveday recovery stay unique, from our personalised nursing and care support to our tailored recovery packages, outstanding dining, and thoughtful details that make every stay as comfortable and enriching as possible. Your focus will be on ensuring that every Recovery Member’s introduction to Loveday is seamless, personal, and delivered with the exceptional care and attention we are known for.
Key Responsibilities
· 1. New Member Administration
• Prepare and manage new Member documentation, including membership agreements, care assessments, medical summaries, and consent forms.
• Track the completion of all paperwork and ensure timely updates to internal systems.
• Liaise with external healthcare professionals (GPs, consultants, hospitals) to obtain required medical records.
· 2. Move‑In Coordination
• Oversee and coordinate the full move‑in process for Recovery Members.
• Maintain accurate checklists and timelines for each new Member.
• Arrange assessments with physiotherapy partners and schedule internal readiness meetings.
· 3. CRM & Records Management
• Ensure all information is accurately logged and updated in Salesforce and SharePoint.
• Maintain secure, compliant records in line with GDPR and internal policies.
· 4. Stakeholder Communication
• Communicate professionally with families, next of kin, and healthcare professionals to gather documentation or provide updates.
• Handle sensitive information with discretion and professionalism.
· 5. Member Tours & Show‑Rounds
• Confidently welcome and guide prospective Members and their families around the 1150 Club.
• Clearly explain the recovery stay offering, tailored services, and facilities in a way that builds trust and engagement.
· 6. Team & Operational Support
• Prepare materials for tours, assessments, and internal meetings.
• Support post‑move‑in follow‑ups and internal audits.
• Provide administrative assistance to the wider team as required.

Criteria
Experience;
Essential; Proven administrative experience in a customer-facing role.
Desirable; Experience in healthcare, care, or hospitality environments

Essential; Proficient in Microsoft Office (Word, Excel, Outlook)

Additional Information
• Full training will be provided on Loveday’s systems and processes. • Occasional flexibility may be required to meet Member needs and operational priorities.
Eligibility
In line with the requirements of the Asylum & Immigration Act 1996, all applicants must either be eligible to live and work in the UK or must obtain permits to work in the UK prior to application.
