The Op COURAGE service is a specialist mental health team for Military Veterans, based in the community. We are looking for a Team Secretary. As a Secretary and often the first point of contact for service users and professionals, you would be giving the 'first impressions' of our service. Therefore, your role is key to helping us provide a positive experience.

You would be providing team secretarial and administration support service to the Op COURAGE Service and the leadership team. This is a blended role, working as the first point of contact for all team calls and queries, by managing the office telephone line and operating the team email inbox, as well as providing support to the leadership team by organising key meetings, taking minutes, supporting with data reporting, and managing invoices.

As you would often be the first point of contact for the service, you would be able to provide a sensitive communication approach, ensuring that all service users and professionals that contact the service are met with a friendly and professional attitude.

You will be expected to work collaboratively with key partner organisations, service users, carers, clinicians and colleagues across the Trust.


Responsibilities

* Provide a first point of contact for the Op Courage Team via the telephone line, for internal and external queries, answering them where possible and otherwise signposting to the relevant member of the clinical team.
* Open and sort incoming emails and other post in a timely manner, and where appropriate, elevate queries to the leadership team.
* Provide a full and confidential secretarial and administrative service to the Op Courage leadership team. The complexity of this role requires a high degree of organisational skills particularly in time management.
* Organise meetings as requested by the Op Courage Leadership, including collating agenda items and disseminating agendas and relevant papers in a timely manner. Attend and take notes of meetings as required and produce reports and notes in accordance with the agreed format. Help to ensure action points from meetings are followed up and that matters are brought forward as appropriate.
* Take lead responsibility for organising workshops and conferences and other functions as directed including communication to attendees, booking venues, organising catering, attendance on the day and taking or typing notes from the event.
* Support the Op Courage Leadership on projects and tasks which require administrative support and management as appropriate.
* Work autonomously on own initiative to manage workload and prioritise tasks in support of the Op Courage agenda.
* Ensure that there is an efficient and effective electronic and manual filing and retrieval system in operation with a functioning brought forward system. Arrange for the safe destruction of correspondence and files in accordance with statutory and locally defined timescales.
* Manage and administer procurement and ordering procedures and systems, including receiving, checking and coding relevant invoices in a timely manner in accordance with standing financial instructions.
* Collate and administer reports, including performance reports and action logs, to ensure that the Op Courage Leadership Team are provided with accurate and timely reports.
