Hours: 37 hrs./week, term time plus 2 weeks (40.4) to include INSET days, external results days in August and occasional Saturdays for entrance testing

Other contacts: Deputy Head Academic, Admissions Officer, Exams Officer, Head of Sixth Form, other staff, students, parents/carers, visitors and external organisations.Purpose: To provide high-quality administrative support to both the Exams Officer and Admissions Officer, ensuring the smooth and efficient running of all examination processes within the school. Duties and responsibilities Core PurposesTo assist the Exams Officer in the organisation and administration of all internal and external examinations. To support the Admissions Officer in managing all aspects of the school’s admissions process, from initial enquiry to enrolment. To ensure all communications with staff, students, and parents are accurate, timely, and professional. Main Responsibilities Examinations Assist the Exams Officer in organising and administering all internal and external examinations. Disseminate examination information to staff, students, and parents/carers. Collect and process examination information from teaching staff. Prepare and maintain examination timetables, seating plans, clash reports, invigilation schedules, and session lists. Arrange alternative sittings for candidates with timetable clashes. Ensure Access Arrangements are correctly implemented for candidates who require them. Maintain full security and confidentiality of examination materials in line with JCQ regulations. Organise the publication and distribution of exam results and certificates. Manage candidate fees and verify invoices. Handle enquiries relating to Post Results Services and advise students on outcomes. Assist with the administration of CATs tests, Maths Challenges, and other assessment activities as required. Maintain accurate and up-to-date data on Bromcom and produce reports as necessary. Admissions Provide administrative support to the Admissions Officer and the wider admissions team. Respond promptly and professionally to enquiries from prospective parents and students, providing accurate information and guidance. Manage online registration forms, applicant correspondence, and student data entry. Support the planning, preparation, and running of all admissions-related events, including; Open Days and Evenings; Entrance Test Days (including Saturdays); Information Evenings; Year 12 Summer School; GCSE Results and Enrolment DaysPrepare test materials, organise venues, schedule staff, and assist during test and open events. Coordinate the processing and communication of offers, refusals, and test results. Support the administration of admissions appeals, including preparing paperwork, scheduling and attending hearings, and liaising with families and staff. Prepare and maintain admissions information packs, website content, to ensure all materials are accurate and up-to-date. Other Duties Participate in staff training days and professional development as required. Comply with all school policies, including safeguarding, data protection, health and safety, and equality of opportunity. Contribute to the School Improvement Plan and uphold high standards of customer care. Support the creation and maintenance of a caring, efficient, and stimulating environment for students. Undertake any other duties consistent with the scope and grading of the post as required by the Exams Officer, Admissions Officer, or Senior Leadership Team.
