Main duties of the job
Clinical Administrator (Bank)
Hours: Bank
Salary: £12.71 per hour
Key Responsibilities
* Act as the first point of contact for visitors, patients, families, and external callers, providing a calm and compassionate welcome
* Manage telephone and email communications, responding to enquiries appropriately and efficiently
* Liaise with external partners (e.g. GPs, community teams, hospitals, pharmacy) to support patient admissions, discharges, and deaths
* Coordinate patient admissions, referrals, appointments, and transport arrangements
* Provide administrative support to nursing and medical staff, including maintaining electronic and paper patient records
* Support volunteers on Reception and keep them informed of patient movements and changes
* Assist with sourcing Bank Nurses to cover vacant shifts, in coordination with senior nursing staff
* Complete and coordinate postdeath administrative processes, including statutory notifications
* Support audits, meetings, and project work as required
* Ensure administrative supplies and equipment are ordered and maintained
* Work flexibly to meet the changing needs of the clinical services

About the Role
We are seeking a compassionate, organised, and flexible Clinical Administrator to join our Clinical Administration Team at Oakhaven Hospice. This role provides a comprehensive administrative service to our medical and nursing teams, supporting the smooth delivery of inpatient, day hospice, and community services.
You will play a vital role in the day to day running of our Inpatient Unit (IPU), responding efficiently to both routine administrative duties and nonroutine events that arise in a busy and sometimes unpredictable clinical environment. You will also provide essential support to volunteers working on reception and liaise closely with the Voluntary Services Coordinator.
Job responsibilities
* To provide a comprehensive administrativeservice to the medical and nursingstaff at Oakhaven Hospice.
* Managing the routine daily tasks essentialfor the effective administration of clinical services, as well as ensuring a prompt and efficient response to non-routine events occasioned by the nature of working in an unpredictable public environment.
* Provide support and daily information to the ward volunteers, in the performance of all Reception/ward duties and liaising with the Voluntary Services coordinator as necessary.
* To work flexibly and in response to changing needs of the Organisation to best support service delivery within the clinical administration team.
Person Specification
Experience
* Experience of dealing directly with service users or experience in a customer service role.
* Experience of working for a healthcare provider or charitable organisation.
Skills and Knowledge
* Strong administrative and organisational skills
* Fully IT literate, including use of Microsoft Office applications.
* A good telephone manner and ability to project empathy
* Able to work effectively with minimum supervision and under pressure at times
* A working knowledge of confidentiality and data protection legislation
