We are seeking a highly motivated Full or Part Time Care Coordinator/Administrator to join our thriving GMSpractice with a list size of 8,600 patients based in Pallion, Sunderland.We are looking for a friendly, organised andenthusiastic individual to join our hardworking and committed healthcare team. The ideal candidate will have excellent interpersonal skills, the ability to work well under pressure and will be dedicated to providing high quality patient services.We are a hardworking friendly team, based in purpose built, spacious premises, committed to providing high quality health care, we encourage professional development andare high QOF achievers.Salary depending on skills and experience


Main duties of the job

Main duties will include reception, telephone enquiries, appointment booking and repeat prescriptions.

4 GP Partners

Job responsibilities

JOB TITLE: CARE COORDINATOR/MEDICAL ADMINISTRATOR

REPORTS TO: PRACTICE MANAGER

HOURS: Full or Part Time

Job summary:

The purpose of the role is to:

Offer general assistance to the practice team andproject a positive and friendly image to patients and other visitors, either inperson or via the telephone

Receive, assist and direct patients in accessingthe appropriate service or healthcare professional in a courteous, efficient andeffective way

Undertake a variety of administrative duties toassist in the smooth running of the practice, including the provision ofadministrative support to clinical staff and other members of the practice team

Facilitate effective communication betweenpatients, members of the primary health care team, secondary care and otherassociated healthcare agencies

Duties and responsibilities:

The duties andresponsibilities to be undertaken by members of the practice administrationteam may include any or all of the items in the following list. Duties may be varied from time to time underthe direction of the senior receptionist/practice manager, dependent on currentand evolving practice workload and staffing levels:

* Maintainingand monitoring the practice appointments system
* Processingpersonal and telephone requests for appointments, visits and telephoneconsultations, and ensuring callers are directed to the appropriatehealthcare professional
* Processingand distributing incoming (and outgoing) mail
* Takingmessages and passing on information
* Filing andretrieving paperwork
* Processingrepeat prescriptions in accordance with practice guidelines
* Computerdata entry/data allocation and collation; processing and recordinginformation in accordance with practice procedures
* Initiatingcontact with and responding to requests from patients, other team memberand associated healthcare agencies and providers
* Clearingand re-stocking of consulting rooms as required
* Providingclerical assistance to practice staff as required from time to time,including word/data processing, filing, photocopying and scanning
* Ordering,re-ordering and monitoring of stationery and other supplies
* Dealingwith clinical waste
* Provisionof refreshments for staff and visitors as required; keeping the kitchen area clean and tidy
* Keepingthe reception area, notice-boards and leaflet dispensers tidy and freefrom obstructions and clutter

* In thecourse of seeking treatment, patients entrust us with, or allow us togather, sensitive information in relation to their health and othermatters. They do so in confidenceand have the right to expect that staff will respect their privacy and actappropriately
* In theperformance of the duties outlined in this job description, thepost-holder may have access to confidential information relating topatients and their carers, practice staff and other healthcareworkers. They may also have access toinformation relating to the practice as a business organisation. Allsuch information from any source is to be regarded as strictlyconfidential
* Informationrelating to patients, carers, colleagues, other healthcare workers or thebusiness of the practice may only be divulged to authorised persons inaccordance with the practice policies and procedures relating toconfidentiality and the protection of personal and sensitive data

Health & safety:

The post-holder will assist in promoting and maintainingtheir own and others health, safety and security as defined in the practicehealth & safety policy, the practice health & safety manual, and thepractice infection control policy and published procedures. This will include:

* Using personal securitysystems within the workplace according to practice guidelines
* Identifying the risksinvolved in work activities and undertaking such activities in a way thatmanages those risks
* Making effective useof training to update knowledge and skills
* Using appropriateinfection control procedures, maintaining work areas in a tidy and safeway, free from hazards
* Actively reportinghealth and safety hazards and infection hazards immediately whenrecognised
* Keeping own work areasand general/patient areas generally clean, assisting in the maintenance ofgeneral standards of cleanliness consistent with the scope of the jobholders role
* Undertaking periodicinfection control training (minimum annually)
* Reporting potentialrisks
* Demonstratedue regard for safeguarding and promoting the welfare of children.

The post-holderwill strive to maintain quality within the practice, and will:

* Assess own performance and takeaccountability for own actions, either directly or under supervision
* Contribute to the effectiveness of the teamby reflecting on own and team activities and making suggestions on ways toimprove and enhance the teams performance
* Work effectively with individuals in otheragencies to meet patients needs
* Effectively manage own time, workload andresources

Communication:

The post-holder should recognise theimportance of effective communication within the team and will strive to:

* Communicateeffectively with other team members
* Communicateeffectively with patients and carers
* Recognisepeoples needs for alternative methods of communication and respondaccordingly

Contribution tothe implementation of services:

The post-holder will:

* Apply practice policies, standards and guidance
* Discuss with other members of the team how the policies, standardsand guidelines will affect own work
* Participate in audit where appropriate


Person Specification


Qualifications

* Good standard of general education
* GCSE grade A to C in English and Maths


Experience

* Practical experience of working with others.
* Experience of using own initiative.
* Practical experience of EMIS computerised recording system.
* Planning and organising
* Performing under pressure
* Self motivated
* Flexibility
