Title: Events Administrator Type: Permanent Hours: Full or Part Time (Monday Friday) Location: Inverness Salary: £12.75 per hour Details: Our client is looking to appoint an Events Administrator to join their team based in Inverness. Full or part time hours will be considered (3-5 days a week dependent upon availability of successful candidate). Working hours are 9-5 Monday Friday and flexibility is required to cover some weekend and evening events. A full driving licence and access to own vehicle will be essential. Duties include: Supporting the team to plan, co-ordinate and oversee its fundraising and events activities. Liaise with a wide range of fundraisers and contacts. Support the calendar of events, ensuring sufficient cover for events between staff and volunteers. Working closely with the Communications Manager to monitor social media notifications. Support community fundraising volunteers to enable them to help at local events. Ensure events are fully promoted through social media channels. Keep event planners up to date and in a presentable format. Work with the Finance officer on expenditure and income, ensuring invoices are paid and issued. Point of contact and support for businesses and members of the public who wish to host an event. Attend and take notes of internal fundraising and team meetings. Contributing appropriately and working with other team members on all aspects of events and fundraising activities. Source and order branded merchandise. Help to create flyers and promotional material for events. Make new connections and supporters. Any other administrative tasks associated with events, fundraising, and raising awareness. Management of sensitive personal and business information, working to data protection and confidentiality procedures at all times. Person Specification Skills & Experience (essential) Experience in administrative roles and strong organisational and time management skills. Confidence and willingness to meet with and build working relationships with others to ensure successful partnerships with businesses. Excellent communication skills and ability to work flexibly and as part of a team. Be able to work to tight timescales, be highly organised particularly in relation to events management action deadlines. Ability to work on own initiative and prioritise workload. Ability to speak at small public events if necessary and represent the charity at some of the community events. Creative approach to work. Interest in working for a charity. Flexibility You will need to be flexible in this role as events and fundraising often occur in evenings and at weekends and a commitment to helping to cover these as well as day time events will be required from time to time as well as obtaining support from others. Desirable: Previous experience of supporting fundraising activities and working in a charity. Knowledge of data protection and maintaining confidentiality at all times, including reporting information in accordance with policies and procedures in events records. Personal: A confident self-starter. Excellent communication skills. Confidence to liaise with people at all levels to gain the support needed. Thrive on working both within a team and alone. Excellent organisational skills. Training and Support: You will receive an induction to the charity and working environment. You will have regular supervision and meetings with other team members and work as part of a team. You will be provided with training to enable you to do your job effectively and will be expected to carry out all mandatory training and any other identified training relevant to your role.
