About the Role We are looking for a proactive, organised, and customer-focused Hire Desk Coordinator to join our growing team. This is a fast-paced and varied role where you will be responsible for supporting customers with their equipment hire requirements, processing enquiries and orders, coordinating logistics, and ensuring a high standard of service throughout the hire process. You will play a key role in the day-to-day operation of the hire desk, working closely with customers, suppliers, transport, and internal departments to keep operations running efficiently while delivering an excellent customer experience. Key Responsibilities Handle customer enquiries relating to hire, sales, and service requirements Prepare quotations, specifications, and hire contracts accurately Negotiate hire rates and maximise enquiry conversion opportunities Source equipment from third-party suppliers when required Coordinate deliveries, collections, and transport arrangements Ensure supplier terms and costs are reflected correctly within customer contracts Raise purchase orders and process sundry sales items Update CRM and hire management systems with accurate information and actions Process orders, picking lists, and hire documentation Support enquiries across Plant, Powered Access, Telehandlers, Forklifts, Tools, M&E Equipment, and Safety Equipment Build strong customer relationships and proactively promote company products and services Resolve customer queries efficiently and professionally Process customer payments and support account administration where required Maintain high standards of health & safety and operational compliance Skills & Experience Previous experience within a busy hire desk or equipment rental environment Strong customer service and communication skills Good organisational skills with the ability to prioritise workload effectively Confident working within a fast-paced operational environment IT literate with experience using Microsoft Office systems Experience using Syrinx software is desirable Industry knowledge of plant, tool hire, powered access, lifting or related equipment is advantageous Person Specification We are looking for someone who is: Self-motivated and able to work using their own initiative Commercially aware with a proactive approach A strong team player with a positive attitude Organised with strong attention to detail Calm under pressure and solutions-focused Enthusiastic about delivering excellent customer service Committed to maintaining high operational and health & safety standards Performance Measures Enquiry conversion rate Order accuracy and completion Response times Customer retention and service standards Operational efficiency Why Join Us?
