We have an exciting new opportunity at PCE for a Document and Data Controller to work as part of our Design team. The Document and Data Controller is responsible for managing, organising, and maintaining all design / project documentation and design data within the design office and across all projects. This role ensures that design documents, drawings, reports, and digital data are accurately controlled, up to date, and easily accessible to all relevant stakeholders, utilising PCE’s Common Data Environment as well as multiple Electronic Document Management Systems (EDMS) as specified by our clients on a project-by-project basis. The role holder will maintain current and assist in the creation of new control procedures and work instructions as necessary. The position supports the design team by implementing and maintaining efficient document management systems and data workflows in compliance with company and project standards. RESPONSIBILITIES Design Document & Data Specific Provide high quality Document Control services to the Design, Preconstruction and Projects Teams. Responsible for the accurate and timeley issue and uploading of Design drawings and documentation to internal CDE (Asite) and all client EDMS (BIM360, Aconex, Viewpoint, Dalux) etc. Ensure all drawings and documents are uploaded in line with internal quality management ststems and ISO (phone number removed). Creation of project specific document naming protocols using PCE BIM standards and aligned to our clients BIM Extension Plan (BEP). Proficient in uploading and downloading design information to and from all relevant EDMS. Ensure all documentation follows PCE/Client naming protocols and both internal CDE (Asite) and client EDMS (BIM360, Aconex, Viewpoint, Dalux, etc) are regularly audited. Ensure all Document Control procedures are followed within Design & Preconstruction. QA/Audit Design & Preconstruction information as necessary prior to uploading to all EDMS. Create placeholders on Asite for all projects from the TiDP (Task Information Delivery Plan). Manage Asite placeholders as project design progresses and TiDP's are updated. Resolve issues pertaining to naming of documents, location of files using PCE and project protocols. Liaise with client document control teams and communicate effectively through verbal and written form. Liaise with all Design & Preconstruction team members, providing support and assistance where necessary. Liaise with the Business Support Team to understand digital data requirements from 3D models. Check/audit model data and resolve errors. Maintain efficient document control procedures and implement where necessary. Liaise with PCE project administrators to assist with collation of Operation and Maintenance manual information as required by the client. Design Systems Support the Preconstruction team with document control services for project and system documentation. Ensure all system documentation is collated and uploaded to relevant internal document management systems such as Sharepoint. Liaise with Preconstruction and Technical Directors to ensure all system documentation maintained, up to date and correctly named and saved / uploaded in line with our internal Quality Management System. Administration Support the Design Director and Preconstruction Director with administrative tasks as necessary. Support DD, PD and Design team by taking accurate meeting notes. General Be the focal point for all document and data control issues from internal teams, external design partners and client teams alike. Take ownership of all matters pertaining to document control, including regular audits and QA checks. Ensure clear and concise communication in all forms, with all parties internally and externally. Monitor daily tasks and outputs and report as necessary. REQUIRED SKILLS AND BEHAVIOURS Relevant experience in a Design environment. Strong knowledge and understanding of Digital design documentation platforms. Knowledge of latest BIM naming standards and protocols. Familiarity with design and technical documentation such as drawings, specifications, reports etc. Excellent attention to detail and organisational skills. Proficiency in Microsoft office suite. Proactive, reliable and able to manage multiple tasks and deadlines. Comfortable working alone at times as well as part of a team. Ability to liaise with others both internally and externally.
