Summary:

The Project Manager is a full-time position (four-day work week, Monday-Thursday), reporting to the Director of AI. The core function is to centrally coordinate people, deliverables, and workflows to ensure all projects meet specification, timeline, and budget.

Key responsibilities cover end-to-end project execution: planning, progress tracking, resource coordination, internal team alignment, and risk mitigation. A primary focus is on establishing and maintaining strong relationships with clients and external stakeholders, ensuring clear communication and seamless collaboration with internal teams.

Success requires managing multiple complex activities concurrently, quickly grasping technical concepts, and applying strong communication, problem-solving, and team-leadership skills when coordinating internal technical teams and engaging with a diverse array of clients, including those based internationally.

The role:

As a Project Manager at digiLab, you will be responsible for:


Project Planning & Setup

* Supporting the development of detailed project plans including scope, timelines, budgets, and resource allocation
* Converting scoped contracts into timetabled work orders for internal teams, with appropriate work packages
* Ensuring cross-stakeholder engagement and sign-off on the agreed scope of work
* Planning, facilitating, and tracking progress throughout the lifetime of each project
* Arranging Kick-Off meetings with stakeholders both internally and externally


Stakeholder Management

* Building and maintaining strong relationships with clients and other external partners
* Managing client expectations relating to deliverables, timescales, and project progress
* Facilitating clear and effective communication between internal teams and external stakeholders
* Organising and leading progress meetings with clients and partners


Internal Coordination

* Ensuring internal resources are allocated effectively and tasks are clearly communicated
* Coordinating with Business Development and delivery teams to ensure seamless handover post contracting
* Supporting alignment between Project and Customer Success to encourage UE adoption and ensure development aligns with company needs


Project Execution & Delivery

* Managing internal work processes to ensure projects are delivered on time and to specification
* Prioritising project timescales, deliverables, and resource allocation
* Identifying potential risks and developing mitigation strategies, including maintaining the risk registers
* Tracking individual project Jira boards
* Monitoring company-wide progress to ensure alignment with requirements
* Leading biweekly internal meetings with delivery teams and supporting Agile processes (or a willingness to learn them)
* Ensuring timely delivery of project milestones and addressing issues as they arise
* Monitoring of time allocations in inform accurate project metrics
* Gathering feedback and identifying opportunities for internal process improvements
* Capturing and disseminating lessons learned from projects


Reporting

* Organising and distributing monthly project reporting throughout the entire project lifecycle
* Producing project completion reporting and ensuring documentation is maintained
* Internal reporting on project health for management

Duties may evolve, and you may be asked to take on other reasonable responsibilities within your competence to support our growth.

Required Skills & Experience:

* Proven experience as a Project Manager in a technical environment (start-up experience desirable)
* Strong organisational and time management skills
* Ability to manage multiple complex activities concurrently
* Adaptable, resilient, and comfortable working in a fast-paced start-up setting
* Strong collaboration and team management skills
* Ability to quickly grasp technical concepts and understand R&D dynamics
* A proactive problem-solving mindset and a team-first attitude
* Strong communication skills with the ability to liaise across technical and non-technical audiences both internally and externally with clients.
* Experience using project management tools such as Atlassian JIRA (desirable but not essential)
* PRINCE2 or equivalent project management certification (desirable but not essential)
* Strong multicultural relationship-building skills and an understanding of (or enthusiasm to develop) business relationships in the Middle East

In addition, some 'nice to haves' are:

* A STEM Degree
* Knowledge or interest in AI/Python

Location:

On-site at our HQ office based on The Quay in Exeter.
