Catering Event Planner - Etihad Stadium - Manchester, Greater Manchester JOB DETAILS Etihad Stadium, Manchester, UK Eastlands Venue Services - Hospitality & Events Department Permanent, 40 Hrs per week across 5 out of 7 days 33 Holidays a year (including bank holidays) WHO WE ARE LOOKING FOR We are looking for an ‘Event Planner’ to co-ordinate all conference and events catering and logistics at the Etihad Stadium. The role is 40 hours per week across 5 out of 7 days. Due to the nature of the business, the role requires flexibility around working patterns such as evenings and weekends. The purpose of the role is to; Ensure that all conference and event catering requirements are proactively co-ordinated and communicated within agreed timelines. Liaise with sales and operational departments to ensure that all stakeholder needs are managed effectively. Ensure that all associated event costs are accurately reported and captured to enable timely billing and invoicing. A FLAVOUR OF THE DAY TO DAY Reporting to the Lead Hospitality Managers, the primary focus of the ‘Event Planner’ is to support and oversee the service delivery of a x365 event calendar including large-scale match day operations with a varying client base. From conferences to intimate dinners and catering on various levels from fine dining to casual for up to 4000 guest per match. No two days are the same. Other responsibilities include, but are not limited to Be a point of contact for catering for the sales team on the build up to an event Assist with any enquiries obtaining quotes & costs for catering conference & events enquiries Consolidate final details to produce comprehensive and accurate event sheets which ensure the correct information is communicated to the operational teams. Ensure all venue procedures are adhered to with regard to guest access, event security and health & safety. Attend weekly operational meetings to discuss future business. Conduct site visits and client appointments and attend final detail meetings with clients to advise on catering elements of the event. Handle event requests promptly, providing correct and accurate assistance or information that meets needs and exceeds expectations. Produce and issue billing information, ensuring that information is correct within the contracted timescales as per venue terms. Capture, manage and share client feedback effectively throughout the business. Ensure purchase orders are raised for any anticipated costs. Support the department and wider business in event operations, including matchdays. TECHNICAL SKILLS AND QUALIFICATIONS Computer literate with particular proficiency with Microsoft Office (Word, Excel, PowerPoint) Confident utilising intuitive cloud-based software for event management and staff scheduling (E.g HumanForce or planning software etc) Experience of working in a similar position within an events team within a large venue AND A FEW ADDITIONAL PERKS Private Health Insurance Free onsite parking Meals included
